Core Responsibilities

Primary Functions

  • Conduct comprehensive patient work-ups, including gathering detailed medical and ocular histories, documenting chief complaints, and recording all relevant information into the Electronic Health Record (EHR) system.
  • Perform a wide range of preliminary diagnostic tests, such as measuring visual acuity, assessing pupillary responses, and conducting color vision and stereo acuity screenings.
  • Operate advanced ophthalmic equipment including autorefractors, lensometers, and keratometers to obtain precise measurements for eyeglass and contact lens prescriptions.
  • Administer non-contact tonometry (NCT) or use a Tonopen to accurately measure intraocular pressure (IOP) as a key screening for glaucoma.
  • Perform visual field testing using automated perimetry devices like the Humphrey Visual Field Analyzer, ensuring patient comfort and providing clear instructions for reliable results.
  • Capture retinal images and perform Optical Coherence Tomography (OCT) scans of the macula and optic nerve head to assist the doctor in diagnosing and monitoring retinal diseases.
  • Assist the ophthalmologist or optometrist during in-office examinations and minor surgical procedures by preparing the room, sterilizing instruments, and passing necessary supplies.
  • Provide comprehensive contact lens insertion and removal (I&R) training for new wearers, educating them on proper hygiene, handling, and care routines.
  • Accurately neutralize and verify eyeglass prescriptions using a manual or automated lensometer, ensuring the final product meets the prescribed specifications.
  • Scribe for the doctor during patient encounters, accurately documenting the examination findings, diagnoses, and treatment plans in real-time within the EMR system.
  • Prepare and administer topical ophthalmic medications, such as dilating drops, under the direct supervision of the attending physician.
  • Manage patient flow throughout the clinic, efficiently moving patients from the waiting room to pre-testing and into the exam room to minimize wait times and optimize the doctor's schedule.
  • Maintain and calibrate all diagnostic equipment according to manufacturer guidelines and office protocols, troubleshooting minor issues and reporting malfunctions.
  • Ensure all examination rooms are fully stocked with necessary supplies, clean, and prepared for the next patient in accordance with infection control standards.
  • Educate patients on various eye conditions, treatment plans, and post-operative care instructions as directed by the physician, ensuring they understand their role in their own eye health.
  • Triage patient phone calls and electronic messages, addressing urgent concerns, scheduling follow-up appointments, and processing prescription refill requests per established protocols.
  • Assist the optical department with frame selection, fitting, and adjustments, providing guidance to patients on lens options that best suit their lifestyle and prescription.
  • Verify patient insurance eligibility and benefits for both medical and vision plans, explaining coverage details and out-of-pocket costs to patients prior to their appointment.
  • Perform A-scans and IOL calculations for pre-operative cataract surgery patients to determine the appropriate intraocular lens power.
  • Maintain strict adherence to HIPAA regulations, ensuring the confidentiality and security of all protected health information (PHI) at all times.
  • Assist in maintaining an accurate inventory of clinical supplies, contact lens trials, and medications, and place orders as needed to prevent shortages.
  • Coordinate patient referrals to specialists and surgical centers, ensuring all necessary documentation and imaging are transferred securely and efficiently.

Secondary Functions

  • Support ad-hoc requests for patient data or clinic performance metrics from the Office Manager.
  • Contribute to the continuous improvement of clinical workflows and patient care protocols.
  • Collaborate with the front desk and billing departments to ensure seamless patient check-in, check-out, and accurate billing processes.
  • Participate in team meetings and training sessions to stay current with new technologies and best practices in eye care.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency in operating ophthalmic pre-testing equipment (e.g., autorefractor, NCT, visual field analyzer, OCT).
  • Experience with Electronic Medical Record (EMR/EHR) systems such as NextGen, Epic, or Compulink.
  • Strong knowledge of medical and ophthalmic terminology.
  • Competency in manual lensometry and refractometry.
  • Deep understanding of HIPAA compliance and patient privacy regulations.
  • Experience with contact lens fitting, insertion, and removal (I&R) training.
  • Basic life support (BLS) or CPR certification is highly desirable.
  • Skill in performing keratometry and pachymetry readings.
  • Ability to accurately take and record vital signs.
  • Familiarity with surgical instrument sterilization techniques.

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range:
