Core Responsibilities

Primary Functions

  • Greet and welcome all patients with a warm and professional demeanor, creating a positive first impression of the practice.
  • Provide expert style consultations, assisting patients in selecting eyeglass frames and lenses that best suit their prescription, facial features, lifestyle, and fashion preferences.
  • Accurately interpret and process prescriptions written by Optometrists and Ophthalmologists.
  • Educate patients on the features and benefits of various lens types, materials, and advanced coatings, such as anti-reflective, blue light filtering, and photochromic lenses.
  • Take precise optical measurements for patients, including pupillary distance (PD), segment heights, optical centers, and vertex distance, using both manual and digital tools.
  • Skillfully dispense, fit, and adjust finished eyewear to ensure optimal comfort, alignment, and visual acuity for the patient.
  • Perform minor to complex frame repairs and adjustments, such as screw replacements, nose pad adjustments, and frame straightening.
  • Instruct patients on the proper techniques for inserting, removing, cleaning, and caring for their contact lenses.
  • Process sales transactions accurately using the Point-of-Sale (POS) system, handling cash, credit cards, and financing options.
  • Verify patient insurance eligibility and benefits with providers like VSP and EyeMed, clearly explaining coverage details and calculating out-of-pocket costs.
  • Troubleshoot and resolve patient concerns regarding their eyewear or contact lenses, ensuring complete satisfaction and retention.
  • Maintain a deep knowledge of all optical products, including frames, lenses, and contact lenses, to provide confident and accurate recommendations.
  • Keep the optical dispensary and retail areas impeccably clean, organized, and visually appealing to enhance the patient experience.
  • Manage the frame board inventory, including ordering, receiving, tagging, and displaying new products to reflect current trends.

Secondary Functions

  • Place, track, and verify orders for frames, lenses, and contact lenses from various optical laboratories, ensuring accuracy and timeliness.
  • Schedule and confirm patient appointments for eye examinations, fittings, and follow-up visits via phone and scheduling software.
  • Assist with preliminary patient testing (pre-testing) before they see the Optometrist, using equipment like auto-refractors and non-contact tonometers.
  • Answer incoming phone calls, respond to patient inquiries, and direct calls to the appropriate team member or department.
  • Maintain accurate and confidential patient records within the practice's Electronic Health Record (EHR) system.
  • Follow up with patients post-dispensing to ensure they are adapting well to their new eyewear or contact lenses.
  • Contribute to team meetings by sharing insights on patient feedback, sales trends, and opportunities for process improvement.
  • Stay current with the latest eyewear fashion trends, lens technologies, and industry best practices through continuous learning and training.

Required Skills & Competencies

Hard Skills (Technical)

  • Optical Dispensing: Proficiency in fitting, adjusting, and repairing eyeglasses to ensure perfect fit and function.
  • Optical Measurements: Ability to accurately take pupillary distance (PD), segment height, and other critical measurements.
  • Lens Knowledge: Strong understanding of different lens materials (polycarbonate, Trivex, high-index), designs (single vision, progressive), and coatings.
  • Insurance Verification: Experience navigating vision insurance provider portals (e.g., VSP, EyeMed) to verify eligibility and benefits.
  • POS & EHR Systems: Competency in using Point-of-Sale systems for transactions and Electronic Health Record systems for patient data management.
  • Lensometry: Skill in using a lensometer (manual or automated) to verify prescription accuracy in finished eyewear.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent.

  • ABO (American Board of Opticianry) Certification or progress towards certification is highly desirable.

Experience Requirements

Typical Experience Range: 1-3 years in a customer-facing role.

Preferred:

  • Previous experience in an optical, optometry, or ophthalmology setting is strongly preferred.
  • A proven track record in a retail sales environment, particularly in fashion, luxury goods, or a role requiring consultative selling.
