Core Responsibilities

Primary Functions

  • Expertly guide patients through the frame and lens selection process based on their prescription, lifestyle, facial features, and fashion preferences.
  • Take precise and accurate optical measurements, including pupillary distance (PD), segment height, and optical center, using both manual and digital tools to ensure optimal lens performance.
  • Educate patients on various lens technologies, materials, and coatings, such as progressive, anti-reflective, blue light filtering, and photochromic lenses, to meet their visual demands.
  • Interpret and analyze optical prescriptions written by Optometrists and Ophthalmologists to recommend the most suitable and effective eyewear solutions.
  • Operate and maintain a point-of-sale (POS) system for processing complex orders, managing payments, and maintaining accurate patient records and sales data.
  • Achieve and exceed individual and team sales goals through proactive patient engagement and effective upselling of premium products, secondary pairs, and lens enhancements.
  • Perform final inspection of finished eyewear to verify prescription accuracy, lens mounting, frame alignment, and overall quality standards before dispensing to the patient.
  • Skillfully adjust and repair eyeglasses, including frame alignments, nose pad replacements, and minor repairs, to ensure a perfect and comfortable fit for the wearer.
  • Manage the dispensary's frame inventory, including ordering, receiving, stocking, performing regular cycle counts, and preparing for trunk shows to maintain optimal stock levels.
  • Build and maintain strong, long-term patient relationships, fostering loyalty and encouraging repeat business and referrals through exceptional, personalized service.
  • Troubleshoot and resolve patient concerns regarding their eyewear, demonstrating empathy, active listening, and a commitment to finding a satisfactory solution.
  • Ensure a clean, organized, and visually appealing retail environment, including merchandise displays, consultation areas, and personal workstations.
  • Assist patients in understanding and maximizing their vision insurance benefits, accurately calculating co-pays, out-of-pocket expenses, and submitting claims.
  • Schedule patient appointments for eye exams and follow-up dispensing visits, managing the appointment book for optimal clinic flow and efficiency.
  • Proactively follow up with patients post-purchase via phone or email to ensure satisfaction, address any adaptation issues with their new eyewear, and solicit feedback.

Secondary Functions

  • Collaborate with the on-site Optometrist and other team members to ensure a seamless and comprehensive patient care experience from exam to dispense.
  • Stay current with the latest eyewear trends, fashion-forward frame styles, and advancements in optical lens technology through continuous training and industry research.
  • Participate in visual merchandising efforts, creating attractive frame board displays that align with brand standards, seasonal themes, and promotional campaigns.
  • Assist in training and mentoring new team members on product knowledge, sales techniques, optical measurements, and operational procedures.
  • Handle incoming phone calls, address patient inquiries, and manage a multi-line phone system with professionalism and efficiency.
  • Verify patient insurance eligibility and coverage details prior to their appointment to streamline the check-in and sales process.
  • Maintain strict patient confidentiality by adhering to HIPAA regulations and all company privacy policies.
  • Process and track lab orders, communicating effectively with the optical lab to ensure timely delivery, accuracy of jobs, and resolve any discrepancies.

Required Skills & Competencies

Hard Skills (Technical)

  • Optical Dispensing: Proficiency in taking accurate measurements (PD, Seg Height, OC) and a strong understanding of lensometry.
  • Point of Sale (POS) Systems: Experience operating retail POS and practice management software for transactions, order entry, and inventory management.
  • Vision Insurance Billing: Working knowledge of major vision plans (e.g., VSP, EyeMed, Davis Vision) and the ability to verify benefits and process claims.
  • Frame Adjustment & Repair: Hands-on ability to use optical tools for fitting, adjusting, and performing minor repairs on various frame materials.
  • Lens Technology Knowledge: Deep understanding of lens materials (Polycarbonate, Trivex, High-Index), designs (Single Vision, Progressive), and coatings (AR, Photochromic).
  • Prescription Interpretation: Ability to accurately read and understand complex ophthalmic prescriptions, including prism and slab-off.
  • Computer Proficiency: Competency in using standard office software (e.g., Microsoft Office Suite) and electronic health record (EHR) systems.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent.

Preferred Education:

  • ABO (American Board of Opticianry) Certification is highly preferred and may be required.

Experience Requirements

Typical Experience Range:

  • 1-3 years in a customer-facing role, preferably in retail, sales, or healthcare.

Preferred:

  • A minimum of 1-2 years of direct experience in an optical retail setting or private optometry practice is strongly preferred. Experience in a luxury retail environment is also a significant asset.
