Core Responsibilities

Primary Functions

  • Design and develop clear, outcome-driven agendas for workshops, strategic planning sessions, and stakeholder meetings that align with organizational goals and measureable success criteria.
  • Facilitate in-person, virtual, and hybrid sessions using proven methodologies (design thinking, Liberating Structures, consensus-building, appreciative inquiry) to drive fast alignment and actionable decisions.
  • Establish and communicate ground rules, roles, timelines, and success metrics at the start of every session to ensure psychological safety, equitable participation, and focused outcomes.
  • Use skilled questioning, active listening, and structured exercises to surface diverse perspectives, clarify assumptions, and transform discussion into prioritized action items with owners and deadlines.
  • Prepare pre-work, background materials, and stakeholder interviews to inform session design, identify constraints, and align expectations before convening participants.
  • Create and refine visual artifacts—roadmaps, decision matrices, user journeys, and Miro/Mural boards—that capture group outputs and support asynchronous follow-up.
  • Manage group dynamics, de-escalate conflict, and maintain neutrality while helping parties explore trade-offs and reach consensus in emotionally charged or politically sensitive environments.
  • Tailor facilitation approaches to participant needs (executive sponsors, cross-functional teams, external partners), adapting language, pace, and level of structure to maximize engagement.
  • Drive outcomes by translating workshop outputs into clear deliverables: decisions logs, action plans, RACI matrices, and success metrics for follow-up and accountability.
  • Use digital collaboration tools (Zoom, Webex, Miro, Mural, Microsoft Teams, Google Workspace) and session templates to scale consistent, high-quality facilitation across distributed teams.
  • Coach internal stakeholders on facilitation practices, meeting hygiene, and decision protocols to build lasting internal capability and reduce time-to-decision.
  • Design and deliver train-the-facilitator programs and playbooks that enable other leaders to run repeatable, impactful sessions across the organization.
  • Capture session analytics and feedback (surveys, NPS, outcome tracking) to evaluate effectiveness, iterate on techniques, and report ROI to sponsors.
  • Coordinate logistics, scheduling, and materials with event planners, vendors, and executive assistants to ensure seamless session delivery.
  • Monitor time and scope during sessions, applying time-boxing and parking-lot techniques to keep groups moving toward decisions without sidelining important issues.
  • Facilitate cross-functional alignment sessions to resolve dependencies, prioritize initiatives, and accelerate project delivery across product, engineering, sales, and operations.
  • Lead problem-framing and root-cause analysis workshops that move teams from symptom discussion to validated hypotheses and experiment plans.
  • Support product and design teams by facilitating user persona workshops, journey mapping, and prioritization ceremonies that inform backlog refinement and roadmap decisions.
  • Run retrospectives and continuous improvement workshops that identify process improvements, assign ownership, and track implementation of improvements.
  • Design inclusive engagement strategies to ensure underrepresented voices are heard, using breakout techniques and equity-focused facilitation practices.
  • Maintain a library of facilitation templates, tools, and proven exercises and continuously update them based on participant feedback and evolving best practices.
  • Serve as a neutral third-party facilitator for high-stakes leadership offsites, board sessions, and vendor negotiations, ensuring transparency and documented outcomes.
  • Prepare succinct executive summaries of session outcomes, risks, and recommended next steps for sponsors and stakeholders to enable rapid decision-making.
  • Adapt facilitation for regulatory or compliance-sensitive contexts (e.g., clinical trials, public consultations), ensuring documentation and auditability of decisions when required.
  • Manage budgets and vendor contracts for external facilitators, venues, and technology services for large-scale events or multi-day offsites.

Secondary Functions

  • Maintain session calendars, participant lists, and pre/post-session communications to increase attendance and participant preparedness.
  • Design simple measurement frameworks to track implementation of workshop outputs and cascade learnings into standard operating processes.

Educational Background

Minimum Education:
