Core Responsibilities
Primary Functions
- Develop and execute comprehensive field work plans, including detailed job instructions, timelines, and resource requirements for installation, maintenance, or survey projects.
- Create, manage, and optimize complex schedules for field technicians and construction crews to ensure maximum productivity and adherence to customer commitments.
- Utilize Geographic Information Systems (GIS) and other mapping software to design efficient routing, analyze service territories, and visualize project layouts.
- Manage the end-to-end lifecycle of work orders, from initial creation and validation through to scheduling, dispatch, and final closure in our workforce management system.
- Proactively communicate with field personnel to provide job details, address on-site challenges, and adjust schedules in real-time in response to unforeseen circumstances like weather or equipment failure.
- Serve as the primary point of contact and liaison between internal departments (engineering, sales, operations) and external stakeholders (customers, contractors, municipalities).
- Conduct detailed site surveys and feasibility studies, both remotely using mapping tools and occasionally in-person, to gather critical data for project design and cost estimation.
- Ensure all planned work complies with industry standards, safety regulations (e.g., OSHA), and local permitting requirements.
- Monitor project progress against key performance indicators (KPIs), such as on-time completion, budget adherence, and quality standards, and generate regular status reports for management.
- Allocate and coordinate the availability of essential resources, including manpower, specialized equipment, vehicles, and materials, to prevent project delays.
- Perform risk assessments for field activities, identifying potential obstacles and developing contingency plans to mitigate their impact on schedules and budgets.
- Review and interpret engineering drawings, blueprints, and technical specifications to accurately translate design requirements into actionable field tasks.
- Manage and resolve any scheduling conflicts, site access issues, or customer escalations with a high degree of professionalism and efficiency.
- Forecast future workload and resource needs based on project pipelines and historical data to support long-term operational planning and staffing.
- Maintain meticulous and accurate records of all planning activities, communications, and project documentation in a centralized database or management system.
- Identify opportunities for process improvement within the planning and dispatch workflow, recommending and helping to implement new tools or procedures to enhance efficiency.
- Coordinate with warehouse and supply chain teams to ensure the timely procurement and delivery of materials and components to job sites, minimizing crew downtime.
- Validate the accuracy of as-built documentation submitted by field crews against the original plans, ensuring data integrity for future maintenance and planning.
- Participate actively in project kick-off and post-mortem meetings to provide critical planning insights and report on field execution performance.
- Assist in the financial management of projects by tracking costs associated with labor, materials, and contractors, helping to ensure projects remain within budget.
- Develop and maintain strong working relationships with third-party contractors, managing their schedules and ensuring their work meets our quality and safety standards.
- Provide crucial support for emergency or unplanned outage restoration efforts by rapidly re-prioritizing and dispatching crews to critical locations.
Secondary Functions
- Assist in training and mentoring junior planners or dispatchers on company procedures and planning software.
- Contribute to weekly and monthly operational review meetings by presenting data and analysis on planning-related KPIs.
- Support the development and maintenance of Standard Operating Procedures (SOPs) for the planning and scheduling department.
- Participate in the evaluation and testing of new planning tools, software, and field service technologies to drive continuous improvement.
Required Skills & Competencies
Hard Skills (Technical)

- Field Service Management (FSM) Software: Hands-on experience with workforce management or FSM platforms (e.g., Salesforce Field Service, ClickSoftware, Oracle FSM).
