Core Responsibilities
Primary Functions
- Process, verify, and code a high volume of accounts payable invoices with exceptional accuracy and timeliness.
- Manage the full accounts receivable cycle, including generating customer invoices, posting payments, and proactively following up on overdue accounts.
- Perform daily, weekly, and monthly bank reconciliations for multiple corporate accounts to ensure all transactions are accurately accounted for.
- Prepare and post journal entries into the general ledger system, ensuring all entries are supported by proper documentation.
- Assist in the month-end, quarter-end, and year-end closing processes by preparing detailed account reconciliations and supporting schedules.
- Maintain and reconcile balance sheet accounts, thoroughly investigating and resolving any discrepancies in a timely manner.
- Process and audit employee expense reports, ensuring strict compliance with company travel and expense policies.
- Maintain the integrity and accuracy of the financial database and accounting software (ERP system) through diligent data management.
- Communicate professionally and effectively with vendors, suppliers, and clients to research and resolve payment and billing inquiries.
- Generate and distribute routine financial reports, such as aging reports for AP/AR, weekly cash flow statements, and budget vs. actual summaries.
- Ensure strict adherence to Generally Accepted Accounting Principles (GAAP) and internal financial policies and procedures in all tasks.
- Manage and reconcile company credit card programs, including the allocation of charges and tracking of expenditures.
- Accurately enter, maintain, and validate financial data in complex spreadsheets and databases, ensuring data integrity is paramount.
- Monitor and track the company's fixed assets, recording acquisitions, dispositions, and calculating monthly depreciation.
- Support payroll processing by verifying timesheets, calculating payroll deductions, and preparing payroll-related journal entries.
Secondary Functions
- Assist senior accountants and finance managers with special projects and ad-hoc financial analysis as requested.
- Provide essential support during internal and external audits by gathering requested documentation, preparing schedules, and answering inquiries.
- Contribute to the continuous improvement of accounting processes and systems by identifying inefficiencies and proposing effective solutions.
- Assist in the preparation of materials and data for the annual budget development and periodic forecasting cycles.
- Prepare and file various compliance-related reports, such as sales and use tax returns or 1099 forms.
- Reconcile intercompany transactions and balances to ensure financial statements are accurately consolidated.
Required Skills & Competencies
Hard Skills (Technical)
- Strong proficiency in Microsoft Excel, including VLOOKUPs, pivot tables, SUMIFs, and complex formula creation.
- Hands-on experience with accounting software and ERP systems (e.g., NetSuite, SAP, Oracle, QuickBooks).
- Solid understanding of core accounting principles, including GAAP, and fundamental bookkeeping procedures.
- Proven experience with accounts payable (AP), accounts receivable (AR), and general ledger functions.

- High-speed, accurate data entry skills with a proven track record of maintaining a low error rate.
- Experience in generating basic financial statements and routine management reports.
