Core Responsibilities
Primary Functions
- Collaborate directly with Senior Financial Advisors to construct and prepare comprehensive financial plans, investment proposals, and wealth management strategies for a diverse client base.
- Serve as a primary point of contact for client inquiries, delivering exceptional service by promptly and accurately addressing requests related to account administration, transactions, and information.
- Meticulously prepare for all client meetings by assembling detailed meeting agendas, generating portfolio performance reports, and organizing all necessary documentation to ensure a seamless and productive client experience.
- Manage the end-to-end client onboarding process, including opening new accounts, facilitating asset transfers (ACATs), and ensuring all required paperwork is completed accurately and efficiently.
- Execute, process, and confirm client trades for a variety of securities, including equities, fixed income, mutual funds, and ETFs, ensuring accuracy and adherence to compliance protocols.
- Actively participate in client meetings, taking detailed notes, tracking follow-up actions, and ensuring all post-meeting tasks are completed in a timely manner.
- Proactively identify and anticipate client needs, providing solutions and opportunities to deepen relationships and enhance the client's financial well-being.
- Maintain and update client information, financial plans, and communication records within the firm's CRM system (e.g., Salesforce, Redtail) with a high degree of accuracy.
- Prepare and process financial transactions such as deposits, withdrawals, wire transfers, and required minimum distributions (RMDs) on behalf of clients.
- Assist in the development of sophisticated financial models and scenarios using financial planning software like eMoney or MoneyGuidePro to illustrate potential outcomes for clients.
- Conduct research on investment products, market trends, and economic conditions to support the advisory team's decision-making process.
- Review and organize client financial documents, including tax returns, insurance policies, and estate planning documents, to build a holistic financial picture.
- Assist with the quarterly billing process, ensuring accurate fee calculations and timely delivery of invoices to clients.
- Interface with custodians (such as Schwab, Fidelity, or Pershing) to resolve account issues, process paperwork, and streamline operations.
- Generate and review periodic investment performance reports, providing initial analysis and commentary for the lead advisor.
- Support the rebalancing of client portfolios to align with their target asset allocation models and investment objectives.
- Help clients navigate and utilize the firm's online portals and digital tools for account access and performance tracking.
- Ensure all client interactions and activities are documented and compliant with SEC, FINRA, and firm-specific regulations and policies.
- Prepare subscription documents for alternative investments and ensure all suitability requirements are met and documented.
- Coordinate with clients' other professional advisors, such as accountants and attorneys, to ensure a cohesive and integrated financial strategy.
- Develop a strong understanding of the firm's investment philosophy, product offerings, and service model to effectively communicate value to clients.
Secondary Functions
- Support the team with marketing initiatives, including coordinating client appreciation events, seminars, and newsletter distributions.
- Contribute to the continuous improvement of internal processes and workflows to enhance operational efficiency and the client experience.

Required Skills & Competencies
Hard Skills (Technical)
- FINRA Licensing: Active FINRA Series 7 and Series 66 (or 63 & 65) licenses are strongly preferred, or the ability to obtain them within a specified timeframe.
- Financial Planning Software: Proficiency with industry-standard software such as eMoney, MoneyGuide Pro, or similar planning tools.
- CRM Proficiency: Experience using CRM systems like Salesforce, Redtail, or Junxure to manage client relationships and workflows.
- Microsoft Office Suite: Advanced skills in MS Excel (VLOOKUP, pivot tables), Word, and PowerPoint for data analysis, reporting, and presentations.
- Custodian Platforms: Familiarity with major custodian platforms (e.g., Schwab Advisor Center, Fidelity Wealthscape) for account management and trading.
- Portfolio Reporting Tools: Experience with portfolio management and reporting software like Orion, Black Diamond, or Tamarac.

Educational Background
Minimum Education:
- Bachelor's degree from an accredited university.
