Core Responsibilities
Primary Functions
- Counsel and advise prospective and current students and their families on the full spectrum of financial aid opportunities, including federal, state, institutional, and private grants, scholarships, loans, and work-study programs.
- Guide students through the entire financial aid application lifecycle, from initial FAFSA (Free Application for Federal Student Aid) and CSS Profile completion to understanding award letters and fulfilling disbursement requirements.
- Conduct comprehensive needs analysis to determine student eligibility for aid, meticulously evaluating financial information and applying federal and institutional methodologies.
- Develop and award comprehensive financial aid packages, strategically combining different aid sources to meet students' financial needs while adhering to all applicable regulations and institutional policies.
- Manage the federal verification process for a designated caseload, which involves collecting and reviewing tax documents, resolving conflicting information, and making necessary updates in the student information system.
- Exercise professional judgment on a case-by-case basis to adjust a student's financial aid eligibility due to special or unusual circumstances, documenting all decisions thoroughly.
- Communicate complex financial aid information clearly and effectively through one-on-one appointments, phone calls, email, and virtual meetings, ensuring students understand their awards, obligations, and options.
- Monitor and enforce Satisfactory Academic Progress (SAP) policies, communicating with students who are at risk of losing eligibility and guiding them through the appeals process.
- Conduct comprehensive entrance and exit loan counseling sessions for student borrowers, ensuring they understand their rights, responsibilities, and repayment options to promote financial literacy and prevent default.
- Serve as the primary point of contact for a specific student caseload, building rapport and providing consistent, personalized support from application to graduation.
- Stay meticulously current on all federal Title IV, state, and institutional regulations, policies, and procedures to ensure institutional compliance and accurate advising.
- Represent the financial aid office by developing and delivering engaging presentations and workshops for various events, including student orientation, campus visit days, and community outreach programs.
- Collaborate closely with key campus partners, including Admissions, Registrar, and the Bursar's Office, to facilitate a seamless and supportive student experience and resolve complex student issues.
- Process revisions to student financial aid packages resulting from changes in enrollment status, housing arrangements, receipt of outside scholarships, or other relevant factors.
- Perform Return of Title IV (R2T4) funds calculations for students who withdraw from the institution, ensuring accuracy and timely processing in accordance with federal law.

- Assist in the development and maintenance of financial aid office publications, website content, student-facing forms, and communication campaigns to ensure clarity and accuracy.
