Core Responsibilities
Primary Functions
- Act as the primary point of contact for client service inquiries, delivering prompt, accurate, and courteous responses via phone, email, and in-person meetings.
- Proactively manage and nurture client relationships by anticipating needs, providing ongoing support, and identifying opportunities for deeper engagement.
- Prepare comprehensive and customized materials for client review meetings, including investment performance reports, asset allocation summaries, financial plan updates, and portfolio analyses.
- Facilitate the new client onboarding process, from preparing initial paperwork and opening new accounts to ensuring a smooth transition of assets.
- Process, monitor, and confirm client-initiated transactions, including cash management requests, wire transfers, ACH distributions, and journal entries with a high degree of accuracy.
- Execute and verify unsolicited trade orders for various securities, such as equities, mutual funds, and fixed-income instruments, as directed by clients or advisors.
- Assist Financial Advisors in developing and implementing financial plans by gathering, organizing, and analyzing client financial data.
- Educate clients on account services, digital platform capabilities, and administrative procedures to enhance their experience and self-service options.
- Schedule and coordinate client meetings, conference calls, and appointments, managing the calendars and logistical needs of the advisory team.
- Handle sensitive client information with the utmost discretion and confidentiality, adhering to all privacy and data security policies.
- Investigate and resolve complex client issues or account discrepancies by collaborating with internal departments and external custodians.
Secondary Functions
- Meticulously maintain client records and update information in the Customer Relationship Management (CRM) system (e.g., Salesforce) to ensure data integrity.
- Assist with compliance and audit requests by gathering necessary documentation and ensuring all client files adhere to firm and regulatory (FINRA/SEC) standards.
- Prepare and process account maintenance forms, including changes of address, beneficiary updates, and account registration changes.
- Generate and distribute periodic client correspondence, market updates, and performance statements as part of the team's communication strategy.

- Collaborate with the firm's central operations, trading, and compliance teams to streamline processes and troubleshoot issues efficiently.
