Core Responsibilities

Primary Functions

  • Develop, implement, and oversee a comprehensive and balanced schedule of group fitness classes, personal training services, and wellness programs that cater to a diverse range of member demographics, fitness levels, and interests.
  • Recruit, hire, train, schedule, and supervise a team of group fitness instructors and personal trainers, providing regular performance feedback, coaching, and continuing education opportunities.
  • Conduct fitness consultations, health assessments, and equipment orientations for new and existing members to establish fitness goals, ensure safe exercise practices, and promote program participation.
  • Actively manage the fitness floor, engaging with members to build rapport, answer questions, provide exercise guidance, and enforce facility policies to ensure a safe and positive environment.
  • Design and execute engaging wellness challenges, educational workshops, and special events throughout the year to drive member participation and retention.
  • Manage the fitness department budget, including forecasting expenses, tracking revenue from personal training and paid programs, and managing payroll for fitness staff.
  • Oversee the maintenance, cleanliness, and safety of all fitness equipment and studio spaces, conducting regular inspections and coordinating with vendors for repairs or replacements.
  • Develop and implement marketing strategies in collaboration with the marketing team to promote fitness programs, services, and events through newsletters, social media, and in-facility signage.
  • Track and analyze key performance indicators (KPIs), such as class attendance, program enrollment, and personal training sales, preparing regular reports for senior management.
  • Stay current with the latest fitness industry trends, research, and certifications to continuously innovate and enhance program offerings.
  • Serve as the primary point of contact for member feedback, concerns, and inquiries related to the fitness department, resolving issues promptly and professionally.
  • Ensure all fitness staff maintain current and appropriate certifications (e.g., CPR/AED, First Aid, Personal Training, Group Fitness) and adhere to all safety protocols.
  • Instruct a limited number of group fitness classes or conduct personal training sessions as needed to maintain a strong presence and connection with members and staff.
  • Coordinate with other departments to integrate wellness initiatives across the organization and support broader community or corporate health goals.
  • Manage the procurement and inventory of fitness supplies and small equipment, such as resistance bands, yoga mats, and foam rollers.
  • Develop and maintain a comprehensive substitute instructor list and system to ensure seamless class coverage in the event of instructor absences.
  • Administer and manage fitness scheduling software (e.g., Mindbody, Club Automation) for class bookings, appointments, and staff scheduling.
  • Create and document standard operating procedures (SOPs) for all fitness department operations, from opening/closing procedures to emergency response plans.
  • Champion a culture of inclusivity and encouragement, ensuring all members feel welcome and supported regardless of their fitness journey.
  • Plan and lead regular team meetings to communicate updates, facilitate collaboration, and foster a cohesive and motivated fitness team.

Secondary Functions

  • Assist the sales and membership team by leading facility tours for prospective members, highlighting fitness offerings and amenities.
  • Contribute content for the organization's blog, social media channels, or newsletters on topics related to health, fitness, and wellness.
  • Represent the organization at community health fairs, corporate wellness events, and other outreach opportunities to promote our services.
  • Collaborate with the facility operations team to plan and execute layout changes or upgrades to the fitness floor and studios.

Required Skills & Competencies

Hard Skills (Technical)

  • Nationally Recognized Personal Training Certification (e.g., ACE, NASM, ACSM, NSCA)
  • Group Fitness Instructor Certification (e.g., AFAA, ACE) in one or more formats
  • Current CPR, First Aid, and AED Certification
  • Proficiency with fitness scheduling and club management software (e.g., Mindbody, ABC Fitness, Daxko)
  • Experience with fitness assessment techniques and equipment (e.g., body composition analysis, functional movement screens)
  • Budget management and financial reporting skills

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree from an accredited four-year university.

  • Master's Degree in a related field.

  • Sports Management or Recreation Management
  • Physiology

Experience Requirements

Typical Experience Range: 3-5 years of experience in the fitness industry.

Preferred: At least 2 years of experience in a supervisory or management role within a fitness center, corporate wellness program, or community recreation facility. Direct experience with budget oversight, staff management, and program development is highly desirable.
