Core Responsibilities

Primary Functions

  • Assist the Fitness Director in the recruitment, hiring, onboarding, and continuous training of personal trainers, group fitness instructors, and other fitness floor staff.
  • Drive departmental revenue by actively promoting and selling personal training packages, specialized workshops, and other fitness programs, while meeting or exceeding personal and team sales targets.
  • Manage the group fitness schedule, including instructor assignments, class substitutions, and program updates, to ensure a diverse, balanced, and high-quality class offering that meets member demand.
  • Serve as a key point of contact for member relations, professionally addressing and resolving member feedback, inquiries, and concerns to ensure exceptional customer satisfaction and retention.
  • Oversee the cleanliness, safety, and functionality of all fitness equipment and studio spaces, conducting regular inspections and coordinating with maintenance for timely repairs and preventative care.
  • Support the Fitness Director in developing and executing member engagement initiatives, fitness challenges, and community events to foster a strong, active, and loyal member base.
  • Act as the Manager on Duty (MOD) during assigned shifts, taking charge of overall club operations, handling escalated issues, and ensuring a safe and positive environment for all.

Secondary Functions

  • Monitor key performance indicators (KPIs), such as class attendance, personal training utilization, and member retention data, preparing and analyzing reports to identify trends and inform strategic decisions.
  • Contribute to the management of the fitness department's budget by tracking expenses, processing payroll for fitness staff, and assisting with financial forecasting.
  • Conduct comprehensive fitness assessments, orientations, and equipment tutorials for new and existing members to ensure they feel confident and supported in their fitness journey.
  • Maintain an accurate inventory of fitness accessories, retail products, and operational supplies, placing orders as needed to prevent shortages.
  • Develop and distribute marketing content for fitness programs across various channels, including social media, email newsletters, and in-club digital displays.
  • Lead departmental team meetings, communicating key updates, providing motivation, and fostering a collaborative and high-performance team culture.
  • Provide direct personal training or teach group fitness classes as needed to support scheduling needs, connect with members, and stay current with instruction techniques.
  • Ensure all fitness department activities and staff certifications adhere to company policies, safety protocols, and industry regulations (e.g., CPR/AED, liability waivers).
  • Manage scheduling software for personal training appointments and group fitness class bookings, troubleshooting issues and ensuring data accuracy.
  • Build and maintain positive relationships with all other club departments to ensure a seamless and integrated member experience from the front desk to the fitness floor.
  • Assist in conducting regular performance reviews for fitness staff, providing constructive feedback and co-creating professional development plans.
  • Stay informed about the latest fitness industry trends, emerging exercise modalities, and new technologies to contribute innovative ideas for program enhancement.
  • Act as a brand ambassador within the club and the local community, embodying the company's mission and values in every interaction.
  • Support the planning and execution of internal and external health fairs, workshops, and community outreach events to promote the club's services.
  • Champion a culture of service excellence, leading by example and empowering the fitness team to go above and beyond for members.

Required Skills & Competencies

Hard Skills (Technical)

  • Nationally Recognized Certifications: Active Personal Training (e.g., NASM, ACE, ACSM, NSCA) and/or Group Fitness certification (e.g., AFAA) is required.
  • CPR/AED/First Aid: Current certification is mandatory.
  • Club Management Software: Proficiency with platforms like Mindbody, ABC Fitness Solutions, or Club Automation for scheduling and reporting.
  • Sales & Revenue Generation: Demonstrated ability to meet and exceed sales goals for fitness services.
  • Microsoft Office Suite: Competency in Word, Excel, and Outlook for communication, scheduling, and basic data analysis.
  • Budgeting & Financial Acumen: Basic understanding of P&L statements, expense tracking, and payroll processing.
  • Fitness Assessment Protocols: Knowledge of conducting movement screens, body composition analysis, and cardiovascular testing.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED.

Preferred Education:

  • Bachelor's Degree.

Relevant Fields of Study:

  • Kinesiology or Exercise Science
  • Sports Management or Recreation
  • Business Administration or Management

Experience Requirements

Typical Experience Range: 2-5 years of experience in the fitness industry.

Preferred: At least 1-2 years of experience in a supervisory or leadership role (e.g., Head Trainer, Fitness Coordinator) within a commercial gym, health club, or boutique studio environment. Direct experience in personal training sales is highly desirable.
