Core Responsibilities

Primary Functions

  • Oversee the complete vehicle lifecycle management process, from strategic procurement, specification, and upfitting to timely and cost-effective disposal and remarketing.
  • Develop, implement, and manage comprehensive preventative maintenance programs to ensure vehicle reliability, minimize downtime, and extend asset life.
  • Manage and analyze the fleet budget, including forecasting operational costs, tracking expenditures, and executing cost-reduction strategies for fuel, maintenance, and insurance.
  • Ensure unwavering compliance with all Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), state, and local transportation regulations.
  • Utilize telematics and fleet management software (e.g., Geotab, Samsara) to monitor driver behavior, track vehicle locations, and analyze operational data for performance optimization.
  • Lead all vehicle acquisition and leasing activities, including negotiating with manufacturers, dealerships, and leasing companies to secure favorable terms.
  • Manage relationships with external vendors, including maintenance shops, parts suppliers, and fuel card providers, ensuring quality service and competitive pricing.
  • Develop and enforce robust fleet policies and procedures covering vehicle assignment, personal use, safety protocols, and preventative maintenance.
  • Oversee the entire accident management process, from initial on-scene investigation and reporting to coordinating with insurance carriers and managing repairs.
  • Maintain meticulous and audit-ready records for every vehicle, including titles, registrations, permits, maintenance history, and compliance documentation.
  • Lead driver management initiatives, including onboarding, safety training, performance monitoring, and compliance with company and regulatory standards.
  • Coordinate the timely renewal of all vehicle registrations, licenses, and permits across multiple states and jurisdictions.
  • Analyze fuel consumption data and implement strategies to improve fuel efficiency and reduce overall fuel expenditure across the fleet.
  • Develop and present detailed KPI reports to senior leadership on fleet performance metrics such as cost-per-mile, vehicle uptime, safety incidents, and budget variance.
  • Evaluate and recommend emerging vehicle technologies, alternative fuels, and software solutions to enhance safety, sustainability, and operational efficiency.

Secondary Functions

  • Supervise, train, and mentor fleet department staff, including coordinators, administrators, and technicians, fostering a culture of safety and continuous improvement.
  • Collaborate closely with the Safety and HR departments to implement and manage a comprehensive driver safety program, including MVR checks and ongoing training.
  • Work with the Finance and Accounting teams to ensure accurate cost allocation, asset depreciation, and financial reporting related to fleet operations.
  • Partner with field operations leaders to ensure proper vehicle allocation and availability to meet business demands and project timelines.
  • Manage the parts and tire inventory, optimizing stock levels to ensure availability while controlling carrying costs.
  • Oversee the corporate fuel card program, including card issuance, policy enforcement, and fraud monitoring.
  • Conduct regular fleet audits to assess vehicle condition, compliance with branding standards, and adherence to safety protocols.

Required Skills & Competencies

Hard Skills (Technical)

  • Fleet Management Software: Advanced proficiency with telematics and fleet management platforms (e.g., Geotab, Samsara, Fleetio, Verizon Connect).
  • Regulatory Knowledge: In-depth understanding of DOT, FMCSA, IFTA, and other federal and state transportation regulations.
  • Vehicle Maintenance Acumen: Strong technical knowledge of vehicle mechanics, diagnostics, and preventative maintenance best practices for a diverse fleet.
  • Financial & Budget Management: Proven experience in creating and managing large operational budgets, performing cost-benefit analysis, and financial forecasting.
  • Data Analysis & Reporting: Ability to analyze complex data sets, identify trends, and generate actionable reports and KPIs using tools like MS Excel.
  • Vendor Negotiation & Management: Skilled in negotiating contracts, service level agreements (SLAs), and pricing with suppliers and service providers.
  • Asset Lifecycle Management: Expertise in managing the entire lifecycle of a physical asset, from procurement to disposal.

Education & Experience

Educational Background

Minimum Education:

High School Diploma or GED coupled with significant, relevant experience.

Preferred Education:

Bachelor's Degree. Certifications such as Certified Automotive Fleet Manager (CAFM) are a strong plus.

Experience Requirements

Typical Experience Range:

5-7+ years of progressive experience in fleet management, transportation, or logistics, with at least 2-3 years in a supervisory or leadership capacity.

  • Experience managing a diverse fleet (e.g., light-duty trucks, service vans, heavy-duty commercial vehicles) of 100+ vehicles.
  • Proven track record of developing and implementing successful cost-saving initiatives and process improvements within a fleet environment.
  • Hands-on experience with the selection and implementation of fleet management software and telematics systems.
