Core Responsibilities

Primary Functions

  • Oversee the entire vehicle lifecycle, from strategic procurement and upfitting specifications to preventative maintenance, repair management, and eventual asset disposal to ensure maximum return on investment.
  • Develop, manage, and own the annual fleet operations budget, meticulously tracking expenditures and implementing robust cost-saving initiatives to reduce the total cost of ownership (TCO).
  • Lead, mentor, and develop a high-performing team of drivers, dispatchers, technicians, and administrative staff, fostering a culture of safety, accountability, and continuous improvement.
  • Ensure unwavering compliance with all federal, state, and local transportation regulations, including DOT, FMCSA, EPA, and OSHA standards, through regular audits, training, and record-keeping.
  • Design and implement comprehensive preventative maintenance programs in collaboration with internal technicians and external vendors to minimize vehicle downtime and extend asset lifespan.
  • Champion and leverage fleet management software and telematics systems (e.g., Geotab, Samsara, Fleetio) to monitor driver behavior, optimize routing, track assets, and generate actionable performance analytics.
  • Manage key vendor relationships and negotiate favorable contracts with vehicle manufacturers, maintenance providers, fuel card companies, and insurance brokers.
  • Drive a world-class safety program, including the development and enforcement of safety policies, conducting thorough accident investigations, and implementing corrective action plans to mitigate risk.
  • Analyze complex fleet data to establish, monitor, and report on key performance indicators (KPIs) such as fuel efficiency (MPG), asset utilization, cost-per-mile, and maintenance trends.
  • Direct the strategic planning for fleet replacement and expansion, conducting needs assessments and market analysis to acquire the right assets at the right time.
  • Implement and manage fuel management programs to control costs, monitor consumption patterns, and identify opportunities for efficiency gains through driver coaching and route optimization.
  • Oversee the vehicle registration, licensing, and permitting process for the entire fleet, ensuring all assets are legally compliant to operate across all required jurisdictions.
  • Develop and document standard operating procedures (SOPs) for all facets of fleet operations, including vehicle assignment, pre/post-trip inspections, and emergency response protocols.
  • Collaborate cross-functionally with departments such as Finance, HR, Legal, and regional Operations to ensure the alignment of fleet strategies with broader company objectives.

Required Skills & Competencies

Hard Skills (Technical)

  • Fleet Management Software: Expertise in using telematics and fleet management platforms (e.g., Geotab, Samsara, Fleetio, Zonar).
  • Regulatory Compliance: Deep knowledge of DOT, FMCSA, IFTA, and other relevant state and federal transportation laws.
  • Budgeting & Cost Analysis: Proficient in budget creation, P&L management, and Total Cost of Ownership (TCO) analysis.
  • Vehicle Lifecycle Management: Experience in vehicle specification, procurement, maintenance scheduling, and disposal strategies.
  • Data Analysis & Reporting: Ability to analyze fleet KPIs and generate insightful reports using tools like Excel, Google Sheets, or BI platforms.
  • Vendor Negotiation: Proven skill in negotiating contracts and managing relationships with suppliers, service providers, and OEMs.
  • Route Optimization: Experience with routing software and logistics planning to improve efficiency and reduce mileage.
