Core Responsibilities

Primary Functions

  • Manage the entire guest check-in and check-out process during the overnight shift, ensuring a seamless, welcoming, and efficient experience.
  • Execute the comprehensive nightly audit process by meticulously verifying, balancing, and reconciling all financial transactions, including room charges, taxes, and outlet sales.
  • Generate, compile, and distribute a suite of daily financial and operational reports for hotel management, providing a clear snapshot of the previous day's performance.
  • Act as the Manager on Duty overnight, taking ownership of guest and property needs and making empowered decisions to resolve issues.
  • Respond promptly and professionally to all guest inquiries, requests, and concerns, ensuring complete guest satisfaction and effective problem resolution.
  • Process all payment types, including cash, credit cards, and direct billings, ensuring all transactions are posted accurately to the correct guest folios.
  • Conduct a thorough audit of all daily credit card transactions, identifying and correcting any discrepancies to ensure financial integrity.
  • Reconcile and close all departmental accounts, ensuring that all revenue-generating outlets have balanced their work and submitted appropriate documentation.
  • Prepare and organize all necessary paperwork for the incoming morning shift, including arrival packets, special request notes, and group information.
  • Uphold and enforce all hotel safety and security procedures, regularly patrolling key areas and acting as the primary point of contact for any overnight emergencies.
  • Meticulously manage and balance a cash drawer, adhering to all cash handling and variance policies set forth by the hotel.
  • Post all room and tax charges accurately to guest accounts, verifying rates and packages to prevent billing errors.
  • Investigate and resolve any financial discrepancies discovered during the audit process, documenting findings and communicating them to the relevant department heads.
  • Manage the hotel's main phone switchboard, directing calls and taking messages in a courteous and efficient manner.
  • Handle overnight reservations, modifications, and cancellations through the Property Management System (PMS), ensuring data accuracy.
  • Prepare and deliver wake-up calls as requested by guests, ensuring punctuality and a pleasant start to their day.
  • Maintain a comprehensive log of all overnight activities, guest issues, and maintenance requests to ensure clear communication and follow-up.
  • Secure guest valuables in accordance with hotel procedures and maintain confidentiality of all guest and hotel information.
  • Proactively anticipate guest needs and offer information regarding hotel amenities, services, and local attractions to enhance their stay.
  • Ensure the front desk, lobby, and other public areas remain clean, organized, and presentable throughout the night shift.

Secondary Functions

  • Support the Front Office Manager with ad-hoc reporting and analysis of nightly performance metrics.
  • Contribute to the continuous improvement of front office and night audit procedures and best practices.
  • Collaborate with housekeeping and maintenance departments by communicating overnight guest needs and reported issues for morning follow-up.
  • Participate in departmental meetings and training sessions to stay current on hotel policies, service standards, and new technologies.

Required Skills & Competencies

Hard Skills (Technical)

  • Property Management Systems (PMS): Proficiency with hotel PMS software such as Opera, OnQ, Fosse, or similar systems.
  • Financial Acumen: Strong understanding of basic accounting principles, bookkeeping, and financial reconciliation.
  • Cash Handling: Experience and accuracy in managing a cash drawer, processing payments, and making change.
  • MS Office Suite: Competency in Microsoft Office, particularly Excel for reporting and data analysis.
  • Data Entry: Fast and accurate typing and data entry skills for managing reservations and guest information.
  • Reporting: Ability to generate, read, and interpret standard financial and operational reports.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma, GED, or equivalent work experience.

Preferred Education:

  • Associate's or Bachelor's Degree.

Experience Requirements

Typical Experience Range: 1-3 years of relevant experience.

Preferred: 1+ years of experience in a hotel front desk role is strongly preferred. Direct experience as a Night Auditor or in a similar overnight position is highly desirable. Experience in a customer-facing role combined with some accounting or bookkeeping experience will also be considered.
