Core Responsibilities

Primary Functions

  • Greet and welcome guests, clients, and employees with a warm and professional demeanor as they arrive at the office.
  • Manage a multi-line telephone system, answering, screening, and forwarding incoming calls while providing basic information when needed.
  • Maintain a secure, clean, and organized reception area, conference rooms, and common areas, ensuring they are presentable at all times.
  • Schedule and confirm appointments, meetings, and conference room reservations, managing multiple calendars to prevent scheduling conflicts.
  • Receive, sort, and distribute daily mail, deliveries, and courier packages to the appropriate recipients in a timely manner.
  • Serve as the primary point of contact for visitors, providing them with necessary information, directions, and assistance.
  • Uphold all security procedures by monitoring visitor access, maintaining visitor logs, and issuing visitor badges as required.
  • Respond to internal and external inquiries via phone, email, and in-person, resolving issues promptly or directing them to the appropriate person.
  • Manage office supply inventory, including tracking stock levels, anticipating needs, and placing orders for new supplies.
  • Perform clerical duties such as filing, photocopying, transcribing, faxing, and data entry to support various departments.
  • Assist in coordinating company events, meetings, and lunches, including room setup, catering orders, and material preparation.
  • Process and route incoming invoices and expense reports for approval and payment.
  • Act as a central information hub, maintaining up-to-date knowledge of staff movements in and out of the organization.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Liaise with facility management vendors, including cleaning, catering, and security services, to ensure smooth office operations.
  • Prepare and edit correspondence, communications, presentations, and other documents as requested by management.
  • Provide general administrative support to our team, assisting with various projects and tasks to enhance office efficiency.
  • Manage company-wide communications for office closures, events, and other important announcements.
  • Troubleshoot minor issues with office equipment (e.g., printers, copiers) and contact IT support for more complex problems.
  • Maintain and update contact lists, directories, and other internal company resources.

Secondary Functions

  • Support ad-hoc data requests and perform basic data entry or reporting tasks as needed.

Minimum Education:
