Core Responsibilities
Primary Functions
- Meticulously manage and maintain the integrity of our donor database (e.g., Salesforce, Raiser's Edge), ensuring all gifts, pledges, contact information, and interactions are recorded accurately and promptly.
- Execute the timely and accurate processing of all incoming donations, including checks, online gifts, and stock transfers, and generate personalized acknowledgment letters and tax receipts to foster exceptional donor stewardship.
- Conduct thorough prospect research on individual, foundation, and corporate prospects to identify potential supporters and inform the cultivation strategies of the front-line fundraising team.
- Provide comprehensive logistical and administrative support for all fundraising events, from large-scale galas to intimate donor cultivation gatherings, managing guest lists, vendor communications, and on-site needs.
- Serve as a warm and professional first point of contact for donor inquiries via phone and email, providing excellent customer service that reinforces their connection to our mission.
- Assist in the execution of multi-channel annual fund campaigns, including direct mail and email appeals, by coordinating mail merges, segmenting lists, and tracking campaign performance.
- Prepare polished, high-quality materials for the development team's donor meetings, including background briefings, proposals, presentations, and customized follow-up correspondence.
- Generate regular and ad-hoc reports from the donor database to track fundraising progress against goals, analyze donor trends, and provide data-driven insights for strategic planning.
- Support the grants lifecycle by tracking application and reporting deadlines, compiling necessary attachments, and assisting in the drafting and submission of grant proposals.
- Coordinate the production and distribution of development communications, such as newsletters and annual reports, ensuring seamless collaboration between internal teams and external vendors.
- Play a pivotal role in donor stewardship activities by managing recognition lists, coordinating benefits fulfillment, and assisting with the planning of appreciation events.
- Reconcile fundraising records with the Finance department on a monthly and annual basis to ensure complete accuracy in financial reporting and audit preparations.
- Assist in tracking the major donor pipeline, updating stages, and recording key interactions to support the moves management process.
Secondary Functions
- Support the planning and execution of donor cultivation and stewardship events, helping to create memorable experiences that deepen donor engagement.
- Assist the communications team in gathering compelling stories and data for use in fundraising appeals, social media, and impact reports.
- Manage the inventory of development collateral and supplies, ensuring the team is always prepared for mailings, events, and donor meetings.
- Provide scheduling and administrative support for Development Committee meetings of the Board of Directors, including preparing materials and taking minutes.
- Stay informed on fundraising best practices and emerging trends in philanthropy to recommend innovative approaches for the team.
- Support ad-hoc data requests and exploratory data analysis to answer key questions about donor behavior.
- Contribute to the organization's data strategy and roadmap by championing data hygiene and suggesting process improvements.

Required Skills & Competencies
Hard Skills (Technical)
- CRM/Donor Database Proficiency: Hands-on experience with fundraising databases like Salesforce (NPSP), Raiser's Edge, Bloomerang, or similar CRM systems is highly desired.
- Microsoft Office & Google Workspace Mastery: Advanced proficiency in Microsoft Excel (pivot tables, vlookups), Word (mail merge), and PowerPoint, as well as Google Sheets, Docs, and Slides.
- Data Management & Reporting: Ability to generate clear and accurate reports, manipulate data, and maintain a high standard of data integrity.
- Prospect Research Tools: Familiarity with prospect research software such as DonorSearch, WealthEngine, or iWave is a plus.
- Digital Fundraising Platforms: Experience with online donation platforms, peer-to-peer fundraising tools, and email marketing software (e.g., Mailchimp, Constant Contact).
