Seated alongside the Auctioneer, you are the central command for the bidding process, ensuring every bid is captured, every sale is recorded, and the entire auction flows with precision and integrity. You are the critical link between the live auction floor, our online bidders across the globe, and our backend systems, directly impacting the success of each sale and the trust our clients place in us. Core Responsibilities

Primary Functions

  • Operate the primary auction clerking software with speed and 100% accuracy to open lots, receive bids from the auctioneer, and close out winning bids in real-time.
  • Meticulously record all sales transactions as they happen, ensuring winning bidder numbers and final sale prices are entered correctly without delay.
  • Act as the Auctioneer's direct support, maintaining constant communication to confirm bid amounts, bidder status, and the pace of the sale.
  • Manage and monitor the online bidding platform (simulcast), relaying internet bids to the Auctioneer to ensure seamless participation for remote buyers.
  • Announce and display essential lot information, pre-bids, and "on-the-block" alerts to both the live and online audiences through the system interface.
  • Maintain an unwavering focus during long, fast-paced auction cycles, often processing hundreds of lots per hour while minimizing errors.
  • Enforce auction rules and procedures from the clerk's station, such as identifying and flagging invalid bids or bidder issues for resolution by floor staff.
  • Generate and verify "block summaries" and preliminary sales reports immediately following a set of items to ensure data integrity before proceeding.
  • Communicate directly with ring staff and floor personnel via headset or other systems to resolve bidder discrepancies or technical issues on the fly.
  • Skillfully manage the "if-bid" or "subject-to-approval" process, accurately recording conditional bids and coordinating with sellers or managers for a decision.
  • Execute the opening and closing of auction lanes or rings, ensuring a smooth transition between different segments of the sale event.
  • Maintain and troubleshoot the functionality of the clerking station hardware, including monitors, keyboards, and communication systems, before and during the auction.

Secondary Functions

  • Assist in the pre-auction setup, including testing all clerking and simulcast software, verifying run lists, and ensuring all data for the day's lots is loaded correctly.
  • Support the post-auction reconciliation process by collaborating with the accounting office to balance sale-day reports and resolve any transactional discrepancies.
  • Provide direct support to customers at the counter or via phone regarding their purchases, payment status, or questions about the auction process post-sale.
  • Contribute to the continuous improvement of auction operations by providing feedback on software performance, process inefficiencies, and customer experiences.
  • Participate in pre-sale meetings with the auction team to review key consignments, specific seller instructions, and the overall strategy for the event.
  • Help compile and distribute final sales reports and analytics to management and consignors, highlighting key performance indicators from the auction.
  • Support ad-hoc data requests and exploratory data analysis related to bidder activity, item performance, and sales trends.
  • Assist in training new administrative staff or junior Gavel Operators on the company's specific auction software and operational procedures.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Data Entry: Typing speed of at least 60 WPM with exceptional accuracy is non-negotiable.
  • Auction Software Proficiency: Experience with industry-specific auction management platforms (e.g., Wavebid, Auction Flex, BidWrangler, or proprietary systems).
  • Simulcast Technology Operation: Familiarity with managing live and online bidding interfaces simultaneously.
  • Microsoft Office Suite: Strong proficiency in Excel for reporting and reconciliation, as well as Word and Outlook for communication.
  • 10-Key by Touch: Demonstrable speed and accuracy using the numeric keypad for rapid price and number entry.
  • Basic IT Troubleshooting: Ability to diagnose and resolve common issues with computer hardware, software, and peripherals in a live environment.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent.

Preferred Education:

  • Associate's or Bachelor's Degree in Business Administration, Communications, or a related field.

Experience Requirements

Typical Experience Range:

  • 1-3 years of experience in a fast-paced role requiring a high degree of data entry accuracy, such as a bank teller, dispatcher, or high-volume administrative position.

Preferred:

  • 2+ years of direct experience working in a live auction environment (e.g., auto, heavy equipment, livestock, art) as a clerk, administrator, or coordinator. Direct experience as a Gavel Operator or Simulcast Operator is highly desirable.
