Core Responsibilities
Primary Functions
- Diligently receive, unbox, and process a high volume of incoming gifts, ensuring each item is handled with the utmost care, discretion, and attention to detail from arrival to storage.
- Conduct thorough quality assurance inspections on all received gifts to assess condition, functionality, and adherence to established aesthetic and material standards.
- Develop and maintain a meticulous digital inventory system to accurately track all received gifts, including details on origin, giver, item specifications, condition, and storage location.
- Serve as the primary point of contact for gift givers regarding logistical matters, fostering positive relationships through timely, professional, and appreciative communication about receipt status.
- Analyze gifting trends, seasonal patterns, and giver preferences to generate actionable insights and predictive reports that inform strategic planning and resource allocation.
- Prepare comprehensive daily, weekly, and monthly reports detailing gift volume, category breakdowns, quality assessments, and giver feedback for review by senior leadership.
- Ensure all received items rigorously comply with the organization's comprehensive gifting policy and ethical guidelines, escalating non-compliant or questionable items for executive review.
- Oversee the strategic organization and management of short-term and long-term gift storage solutions, optimizing space for accessibility, preservation, and security.
- Coordinate all inbound logistics, including scheduling deliveries and managing carrier relationships, to ensure a seamless, predictable, and efficient reception process.
- Articulate detailed, constructive feedback on gift attributes—including packaging, presentation, and overall user experience—to inform and enhance future giver engagement strategies.
- Investigate, document, and resolve any discrepancies between expected and received gifts, meticulously tracking all findings, communications, and resolutions in the management system.
- Collaborate with cross-functional teams, including Gratitude Expression and Relationship Management, to ensure a cohesive and integrated approach to the entire gifting lifecycle.
- Operate and maintain specialized equipment for unboxing, documentation (e.g., high-resolution cameras), and the careful handling of delicate, perishable, or high-value items.
- Perform high-accuracy, high-volume data entry into our proprietary Gift Management System (GMS) to maintain a single source of truth for all gift-related information.
- Develop, document, and refine standard operating procedures (SOPs) for the entire gift reception, inspection, and inventory workflow to ensure consistency, efficiency, and scalability.
- Manage the process for returning, donating, or redirecting gifts that do not meet acceptance criteria, handling all associated communications and logistics with diplomacy and tact.
- Track and report on key performance indicators (KPIs) such as receiving cycle time, inventory accuracy, giver satisfaction scores, and item quality ratings.
- Lead and participate in regular physical inventory audits and cycle counts to ensure the digital catalog accurately reflects the physical collection at all times.
- Maintain a pristine and highly secure receiving area, ensuring a safe, organized, and aesthetically pleasing environment conducive to handling premium and sensitive items.
- Provide comprehensive training and mentorship to junior team members and interns on best practices for gift handling, documentation, and giver communication protocols.
- Generate and send personalized acknowledgment communications, leveraging detailed notes from the receiving process to enhance authenticity and express sincere gratitude.
