Core Responsibilities
Primary Functions
- Oversee and manage the end-to-end payroll processing for all company locations worldwide, ensuring timely and accurate disbursement of salaries, bonuses, commissions, and other compensation components.
- Develop and implement a unified global payroll strategy that balances standardization with local compliance requirements, driving efficiency and scalability across all regions of operation.
- Act as the primary point of contact and relationship manager for third-party payroll vendors, negotiating contracts, monitoring performance against SLAs, and leading regular business reviews to foster a strong partnership.
- Ensure strict compliance with all federal, state, and international statutory requirements, including tax withholding, social security contributions, and other mandatory deductions for each country of operation.
- Lead the implementation of new payroll systems or a transition to new payroll vendors, managing the project from initial scoping and vendor selection to data migration, testing, and go-live.
- Champion continuous process improvement initiatives within the payroll function, identifying opportunities for automation, streamlining workflows, and enhancing internal controls.
- Manage, mentor, and develop a team of regional payroll specialists or analysts, providing guidance, training, and professional development to build a high-performing global payroll team.
- Serve as the subject matter expert on all global payroll matters, advising HR, Finance, and executive leadership on the implications of new compensation plans, international assignments, and corporate expansion.
- Develop and maintain a comprehensive set of global payroll policies, procedures, and process documentation to ensure consistency, accuracy, and business continuity.
- Oversee the reconciliation of all payroll-related general ledger accounts, working closely with the Accounting team to ensure accurate financial reporting and resolve any discrepancies in a timely manner.
- Manage the registration for new tax jurisdictions and entities as the company expands globally, ensuring the business is set up for payroll and tax compliance from day one.
- Coordinate and support internal and external audits related to payroll, including financial statement audits, SOX compliance reviews, and tax authority inquiries, by providing necessary documentation and explanations.
- Design and generate comprehensive payroll reports and analytics for leadership, providing insights into global labor costs, headcount trends, and other key performance indicators (KPIs).
- Manage the complexities of equity-based compensation (e.g., stock options, RSUs) within the payroll process, ensuring correct taxation and reporting across multiple jurisdictions.
- Resolve complex and escalated payroll inquiries from employees and managers with a high degree of professionalism and confidentiality, ensuring a positive employee experience.
- Partner with the HRIS team to ensure seamless data integrity and integration between the HR Information System (e.g., Workday) and various global payroll platforms.
- Stay current with emerging trends, technologies, and legislative changes in the global payroll landscape, proactively assessing their impact on the organization and recommending necessary adjustments.
- Lead the year-end payroll processes for all countries, including the production of annual employee tax statements (e.g., W-2, P60, T4) and required government reporting.
- Drive the payroll integration strategy for mergers and acquisitions, conducting due diligence and managing the seamless transition of acquired employees onto the company's payroll systems.
- Manage the administration of expatriate and international assignee payrolls, coordinating with mobility and tax partners to ensure compliance with shadow payrolls and tax equalization policies.
