Core Responsibilities

Primary Functions

  • Monitor and report on the health and progress of a diverse portfolio of global projects, ensuring key milestones, deadlines, and budgetary constraints are rigorously tracked and communicated.
  • Develop, maintain, and distribute comprehensive project documentation, including detailed project plans, risk and issue logs (RAID), change requests, and status reports for a wide array of international stakeholders.
  • Conduct in-depth analysis of project performance data to identify emerging trends, forecast potential outcomes, and generate actionable insights that empower project managers and senior leadership to make informed decisions.
  • Act as a key facilitator for cross-functional communication, bridging gaps between globally dispersed teams to ensure strategic alignment on project objectives, timelines, and critical deliverables.
  • Support the global Project Management Office (PMO) in the continuous refinement and standardization of project management methodologies, governance frameworks, processes, and tools across the entire organization.
  • Prepare and deliver compelling, data-rich presentations and executive dashboards for high-level steering committees, clearly articulating project status, resource utilization, financial health, and key risks.
  • Assist in the meticulous financial oversight of projects, including tracking expenditures against budget, performing variance analysis, and contributing to financial forecasting to ensure projects remain on a solid financial footing.
  • Manage and analyze project resource allocation and capacity plans, collaborating with functional managers to highlight potential bottlenecks and ensure optimal staffing for strategic global initiatives.
  • Proactively identify, analyze, and document project risks and issues, working closely with project teams to develop, implement, and monitor effective mitigation and contingency strategies.
  • Perform rigorous quality assurance checks on key project deliverables, ensuring they meet the organization's high standards and fully align with the initial business requirements and scope.
  • Coordinate, schedule, and facilitate critical project ceremonies, including kick-off meetings, regular status check-ins, and post-mortem reviews, ensuring clear agendas and prompt distribution of minutes and action items.
  • Serve as a central, reliable point of contact for all project-related inquiries, providing timely, accurate, and consistent information to stakeholders operating across different time zones and cultural contexts.
  • Drive continuous improvement initiatives within the project management lifecycle by identifying process inefficiencies, gathering feedback, and recommending practical, scalable solutions.
  • Become a power user of core project management software (e.g., JIRA, Asana, MS Project, Smartsheet), leveraging its features to effectively manage project timelines, tasks, dependencies, and reporting.
  • Provide end-to-end support throughout the entire project lifecycle, from the initial ideation and business case development phase through to execution, active monitoring, and formal project closure.
  • Translate complex quantitative and qualitative project data into clear, concise, and visually engaging narratives that are easily understood by non-technical audiences and senior executives.
  • Liaise effectively with external vendors, suppliers, and consulting partners involved in global projects, ensuring their deliverables are on schedule, within budget, and meet all contractual obligations.
  • Lead post-project evaluation sessions and "lessons learned" analyses to capture institutional knowledge, document best practices, and feed valuable insights back into the PMO for future initiatives.
  • Assist senior project managers in meticulously defining project scope, goals, and deliverables in close collaboration with executive sponsors and key business stakeholders.
  • Analyze and document complex business requirements, translating them into detailed project specifications, user stories, and comprehensive work breakdown structures (WBS).

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis to answer urgent business questions from leadership.
  • Contribute to the organization's data strategy and roadmap by providing a project-level perspective on data needs.
  • Collaborate with business units to translate their evolving data and reporting needs into clear technical requirements for engineering teams.
  • Participate in sprint planning, daily stand-ups, and other agile ceremonies as an embedded member of or a key partner to project delivery teams.
  • Assist in the development and delivery of training materials for new project management tools and process updates.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Data Analysis & Visualization: Proficiency in Microsoft Excel (complex formulas, Pivot Tables, Power Query) and BI tools like Power BI or Tableau to create insightful dashboards.
  • Project Management Software Mastery: Hands-on experience with one or more industry-standard tools such as Jira, Asana, Microsoft Project, or Smartsheet.

Education & Experience

Educational Background

Minimum Education:
