Core Responsibilities

Primary Functions

  • Act as the central point of contact for project team members distributed across various global locations, facilitating clear and consistent communication channels.

  • Proactively track project progress against key milestones and deliverables using project management software, promptly identifying and escalating potential delays or risks to the Project Manager.
  • Maintain and organize the central project repository (e.g., on SharePoint or Confluence), ensuring all documents are current, version-controlled, and easily accessible to all stakeholders.
  • Provide comprehensive administrative support to the Project Manager, including managing calendars, arranging complex international travel, and processing expense reports.
  • Facilitate the flow of information between the core project team, external vendors, and key stakeholders, ensuring all parties are aligned and informed of relevant updates.
  • Assist in the preparation of high-quality presentations and materials for steering committee meetings, project reviews, and stakeholder briefings.
  • Monitor project action items and follow up with assigned team members to ensure timely completion and resolution of outstanding tasks.
  • Support the management of project scope by documenting change requests and assisting the Project Manager in assessing their impact.
  • Organize and maintain project distribution lists and communication plans, ensuring the right information reaches the right people at the right time.
