Core Responsibilities
Primary Functions
- Spearhead the end-to-end planning, coordination, and execution of a diverse portfolio of golf tournaments, charity classics, and corporate golf outings.
- Serve as the primary point of contact for clients, conducting detailed initial consultations to understand their vision, objectives, and budgetary requirements for each event.
- Develop comprehensive event proposals, detailed timelines, and operational plans to ensure all stakeholders are aligned and milestones are met.
- Create, manage, and meticulously track event budgets, ensuring profitability targets are achieved while delivering exceptional value to the client.
- Negotiate contracts and manage relationships with a wide array of third-party vendors, including caterers, rental companies, entertainment providers, and audio-visual technicians.
- Coordinate all on-course logistics, including player registration, cart staging, scoring systems (e.g., Golf Genius), format of play, and on-course contests (e.g., longest drive, closest to the pin).
- Collaborate closely with the Head Golf Professional and course Superintendent to schedule events and ensure the course is in optimal condition.
- Plan and oversee all food and beverage components of the event, from on-course refreshment stations to post-tournament banquets and awards dinners.
- Develop creative and engaging event concepts, themes, and formats that enhance the guest experience and differentiate our offerings.
- Secure and manage event sponsorships, ensuring all contractual obligations for sponsor recognition and activation are fulfilled flawlessly.
- Design and procure all event-related collateral, including marketing materials, signage, tee gifts, and awards.
- Lead on-site event execution, acting as the main decision-maker to troubleshoot any issues that arise in real-time and ensure a seamless flow from start to finish.
- Manage and direct event staff, volunteers, and vendor teams on the day of the event, providing clear instructions and maintaining a positive, professional atmosphere.
- Conduct post-event evaluations and debrief meetings with clients and internal teams to gather feedback, assess success against objectives, and identify areas for improvement.
- Utilize CRM and event management software to track client interactions, manage event details, and streamline the planning process.
- Ensure all events comply with club policies, local regulations, and liquor licensing laws.
