Core Responsibilities

Primary Functions

  • Meticulously create, update, and manage comprehensive digital and physical records for all incoming and outgoing goods, including detailed descriptions, dimensions, condition, provenance, and valuation.
  • Oversee the entire lifecycle of an object's movement, including coordinating complex domestic and international shipping, freight, and courier arrangements in line with deadlines and budgets.
  • Conduct regular, thorough physical inventories and system-based audits of all stock or collection items, investigating and resolving any discrepancies with precision and urgency.
  • Act as the primary liaison for all logistical matters, communicating effectively with internal departments, clients, vendors, customs brokers, freight forwarders, and insurance providers.
  • Prepare, review, and process all necessary legal and logistical documentation, such as bills of lading, commercial invoices, customs declarations, loan agreements, and certificates of insurance.
  • Perform and document detailed condition reports upon receipt and before dispatch of goods, accurately noting any pre-existing damage or changes in condition with photographic evidence.
  • Manage and negotiate insurance coverage for all assets, both on-site and in transit, and adeptly handle the claims process in the unfortunate event of loss or damage.
  • Develop and enforce rigorous packing, crating, and handling procedures to ensure the utmost safety and preservation of goods, training other staff members on these best practices.
  • Oversee the organization and security of storage facilities, ensuring proper environmental controls, space optimization, and accurate location tracking for every item.
  • Manage budgets related to shipping, storage, insurance, and conservation, consistently seeking cost-effective solutions without compromising safety or quality.
  • Arrange and sometimes accompany high-value or sensitive shipments as a courier, providing direct oversight and ensuring protocol is followed at every stage of transit.
  • Utilize and maintain specialized inventory or collection management database systems (e.g., SAP, TMS, Oracle, NetSuite) to ensure data integrity and generate insightful reports.
  • Ensure all activities strictly adhere to company policies as well as local, national, and international regulations, including customs laws, import/export restrictions, and industry-specific standards (e.g., CITES, IATA).
  • Assess, identify, and proactively mitigate potential risks associated with the storage, handling, and transportation of goods through careful planning and contingency development.
  • Coordinate with conservators or technical specialists for the assessment, treatment, and specialized handling requirements of sensitive or fragile items.
  • Generate regular and on-demand reports for management regarding inventory levels, movement history, logistical costs, and asset valuation.
  • Negotiate contracts and service level agreements with third-party logistics providers, crating companies, and other vendors to secure favorable terms and reliable service.
  • Serve as the institutional memory for objects, capable of retrieving historical data on an item's movement, exhibition history, or previous ownership.
  • Resolve any logistical challenges, shipping delays, customs holds, or damage incidents with a calm, professional, and solution-oriented approach.
  • Digitize and archive all relevant documentation to create a secure and easily accessible record for future audits, legal inquiries, or research purposes.
