Core Responsibilities

Primary Functions

  • Proactively manage and coordinate the Manager's complex and dynamic calendar, including scheduling high-level meetings, appointments, and public engagements while anticipating conflicts and prioritizing requests.
  • Serve as the primary point of contact and gatekeeper for the Manager's office, professionally screening and directing telephone calls, emails, and in-person inquiries from internal staff, other agencies, and the public.
  • Coordinate all aspects of domestic and international travel arrangements, including booking flights and accommodations, arranging ground transportation, and preparing detailed itineraries and background materials.
  • Prepare, review, proofread, and edit a wide range of correspondence, reports, presentations, and official documents, ensuring accuracy, clarity, and adherence to government formatting standards.
  • Organize and support internal and external meetings by preparing agendas, distributing relevant materials in advance, recording and transcribing official minutes, and diligently tracking action items to ensure completion.
  • Facilitate seamless communication and information flow between the Manager's office, internal departments, external government agencies, and key public and private stakeholders.
  • Conduct preliminary research and compile briefing notes on various policy issues, legislative updates, and stakeholder positions to ensure the Manager is fully prepared for meetings and presentations.
  • Manage and process expense reports, purchase requisitions, and invoices in strict compliance with government procurement and financial regulations, ensuring timely and accurate submission.
  • Develop and maintain a systematic and secure records management system for both physical and electronic files, ensuring the confidentiality, integrity, and easy retrieval of critical information.
  • Handle highly confidential and sensitive information with the utmost discretion, maintaining a high level of trust, integrity, and political acuity.
  • Prepare and assemble comprehensive briefing packages and materials for the Manager's review prior to all meetings, conferences, and official travel.
  • Liaise with other government departments, ministerial offices, and external organizations to coordinate joint initiatives and schedule complex inter-agency meetings.
  • Monitor incoming legislation, policy changes, and media coverage relevant to the department's mandate and provide concise, timely summaries to the Manager.

  • Manage office supplies and equipment inventory, ensuring the smooth and efficient operation of the Manager's immediate office environment.
  • Draft routine official correspondence, memorandums, and emails for the Manager's signature, accurately emulating their professional tone and style.
  • Support ad-hoc data requests and exploratory data analysis to inform decision-making.
  • Contribute to the organization's data strategy and roadmap from an administrative support perspective.
  • Collaborate with business units to translate data needs into engineering requirements.
  • Participate in sprint planning and agile ceremonies within the data engineering team, representing the manager's office needs.
