Core Responsibilities
Primary Functions
- Research, identify, and qualify a robust pipeline of foundation, corporate, and government funding opportunities that align with the organization's mission and strategic priorities.
- Author compelling, well-researched grant proposals, letters of inquiry (LOIs), and renewal requests that are meticulously tailored to each funder's specific priorities and guidelines.
- Develop and manage a comprehensive institutional giving calendar to meticulously track all proposal submission, reporting, and stewardship deadlines, ensuring 100% on-time delivery.
- Collaborate closely with program and finance teams to develop accurate, detailed, and defensible project budgets and financial narratives for all grant applications.
- Cultivate and steward relationships with foundation program officers and other funding contacts through proactive and strategic communication, including updates, inquiries, and expressions of gratitude.
- Prepare and submit all required interim and final narrative and financial reports to funders, effectively demonstrating program impact, data-driven outcomes, and fiscal accountability.
- Maintain meticulous and up-to-date records of all grant activities, including submissions, awards, rejections, and reporting milestones, within the organization's CRM database (e.g., Salesforce, Raiser's Edge).
- Work in close partnership with program staff to gather compelling data, client success stories, and relevant metrics that vividly articulate program needs and impact in proposals and reports.
- Lead the grant submission process through various online portals, including Grants.gov, foundation-specific systems, and other required platforms, ensuring all technical requirements are met.
- Coordinate and facilitate internal grant kick-off and close-out meetings with key stakeholders to ensure a clear understanding of grant deliverables, timelines, and reporting requirements.
- Develop and maintain a comprehensive library of organizational information, standard proposal attachments, and boilerplate language to enhance the efficiency and quality of the proposal development process.
- Monitor and stay informed about emerging trends in philanthropy, the nonprofit sector, and specific program areas to inform fundraising strategy and identify new opportunities.
- Manage the formal grant agreement and award process, including review of terms, securing signatures, and communicating obligations to relevant internal teams.
- Prepare detailed briefing materials, talking points, and presentations for leadership and program staff in preparation for meetings, site visits, and other interactions with funders.
- Track, analyze, and report on grant fundraising performance against established goals, providing regular progress reports for the Development Director and executive leadership.
- Coordinate the logistics and content for funder site visits, both virtual and in-person, to showcase the organization's work and deepen funder engagement.
- Liaise with the finance department to monitor grant spending throughout the award period, track restricted funds, and ensure proper allocation and reporting of grant revenue.
- Develop and execute customized stewardship plans for major institutional donors to foster strong, long-term, and multi-year funding relationships.
- Review and edit grant proposals and reports written by other team members or external consultants to ensure the highest standards of quality, clarity, and brand consistency.
- Actively participate in the organization's broader fundraising strategy and planning sessions, providing critical insights on institutional giving opportunities and challenges.
