Core Responsibilities

Primary Functions

  • Expertly manage the trafficking of creative assets, ensuring a smooth journey from internal review cycles to final delivery to all stakeholders, including vendors and media partners.
  • Perform essential design modifications, including resizing, reformatting, and versioning of approved creative concepts for a wide array of platforms, such as social media, web banners, email campaigns, and print materials.
  • Serve as the guardian of our project management system (e.g., Asana, Jira, Monday.com), meticulously updating project statuses, tracking timelines, and clearly communicating next steps to all team members.
  • Organize and maintain the Digital Asset Management (DAM) system, ensuring all final creative files are correctly archived, tagged with metadata, and easily retrievable for future use.
  • Act as a primary point of contact for incoming creative requests, helping to gather necessary information, clarify project specifications, and assign initial tasks.
  • Conduct thorough quality assurance (QA) checks on all final deliverables, verifying that they meet technical specifications, brand guidelines, and the initial brief's requirements.
  • Coordinate and schedule key creative meetings, including project kick-offs, internal reviews, and stakeholder presentations, and be responsible for preparing materials and taking detailed notes.
  • Facilitate clear and consistent communication between graphic designers, copywriters, marketers, and other cross-functional teams to ensure project alignment.
  • Assist in the creation and maintenance of comprehensive project documentation, including project briefs, timelines, and status trackers for team-wide visibility.
  • Prepare and package final design files for printers, developers, and other external vendors, ensuring all specifications for color profiles, resolution, and file formats are met.
  • Monitor project resource allocation and team bandwidth, flagging potential conflicts or overload issues to the Producer or Project Manager.
  • Assist in managing the creative feedback loop, consolidating comments from multiple stakeholders into clear, actionable notes for the design team.
  • Track the usage rights and expiration dates for licensed assets like stock photos, fonts, and illustrations to ensure compliance.
  • Create mockup images and presentation decks to effectively showcase creative work to internal teams and external clients for review and approval.
  • Provide administrative support to the creative production team, including processing invoices, tracking budgets on a per-project basis, and onboarding freelance talent.

Secondary Functions

  • Assist in the research, sourcing, and licensing of stock photography, video clips, and fonts that align with project goals and brand aesthetics.
  • Provide on-set support during photo or video shoots as needed, helping with logistics, talent coordination, and general production tasks.
  • Contribute to the continuous improvement of creative workflows and processes by identifying bottlenecks and suggesting more efficient solutions.
  • Support the creation of case studies and portfolio materials by gathering final assets and project results after a campaign has concluded.
  • Stay current with industry trends, new software, and emerging digital platforms to help inform the creative team of new possibilities and best practices.

  • Adobe Creative Suite: High-level proficiency in Adobe Creative Suite, specifically Photoshop, Illustrator, and InDesign, for resizing, exporting, and making minor edits to creative assets.
  • Project Management Software: Hands-on experience with modern project management tools such as Asana, Trello, Jira, or Monday.com to manage tasks and track project progress.
  • Digital Asset Management (DAM): Familiarity with Digital Asset Management (DAM) platforms and principles for systematically organizing, tagging, and archiving creative files.
  • File Format Expertise: Strong understanding of various digital and print file formats (e.g., JPG, PNG, GIF, SVG, EPS, PDF) and their appropriate applications.
  • Productivity Suites: Solid command of office productivity suites like Google Workspace (Docs, Sheets, Slides) and/or Microsoft Office (Word, Excel, PowerPoint) for reporting and presentations.

Education & Experience

Educational Background

Minimum Education:
