Core Responsibilities
Primary Functions
- Receive incoming artwork and production orders, interpret job specifications, review client PDFs and native files for completeness, and create detailed job jackets or production tickets that document inks, substrates, bleeds, and finishing instructions to ensure flawless handoff to production.
- Perform comprehensive preflight inspections using industry tools and checklists, identify missing fonts/images, incorrect color spaces, low-resolution assets, and incompatible file formats (PDF/X, EPS, TIFF), and correct or escalate issues to designers before RIP and printing.
- Prepare and standardize files for production by flattening transparencies, embedding fonts, converting color spaces to CMYK/spot, applying trapping where necessary, and generating print-ready PDFs compliant with client and press specifications.
- Operate RIP software (EFI, Wasatch, Adobe PDF Print Engine, RasterLink, or similar) to rasterize files, create impositions, gang jobs for efficiency, and output to plates, film, or direct-to-press workflows while optimizing RIP settings for resolution and screening.
- Calibrate and profile monitors, proofing devices, and output devices using spectrophotometers and ICC profiles to maintain consistent color across devices, perform contract proofs, and validate color accuracy against Pantone and brand references.
- Produce digital and hard-copy proofs (soft proofs, inkjet proofs, contract proofs) for client approval, annotate any necessary corrections, manage revision rounds, and archive final approved proofs and version history in the job folder.
- Mount, align, and prepare printing plates or film, inspect plate quality, and handle plate loading/unloading while following pressroom safety and ESD prevention procedures to avoid damage and downtime.
- Operate wide-format and sheet-fed printers (HP, Epson, Roland, Mimaki, Canon) and associated finishing equipment (cutters, laminators, plotters), execute print runs according to color targets and production schedules, and perform basic setup and warm-up procedures.
- Execute quality assurance (QA) checks during and after print, measuring density, dot gain, registration, banding, and color deviation; document variances and adjust press or RIP parameters to meet tolerances and client standards.
- Trim, laminate, fold, bind, punch, and prepare finished materials for shipping; set up and operate guillotines, cutters, folding machines, and bindery equipment to factory tolerances and job specifications.
- Maintain inventory of consumables (plates, inks, substrates, film, blades), reorder when thresholds are reached, and log material usage to control costs and ensure uninterrupted production runs.
- Troubleshoot common prepress and print issues — corrupted files, RIP errors, banding, streaking, nozzle clogs — and implement corrective actions or escalate to senior technicians or vendor support with detailed diagnostic information.
- Maintain and update digital asset management (DAM) or job tracking systems by uploading finalized print-ready files, proofs, color specs, and production notes so sales, account management, and production teams can access accurate records.
- Prepare and manage spot color separations, varnish/foil/die-cut paths, and special finishing instructions; create and verify die lines, cut paths, and bleed/safety areas for complex packaging and signage projects.
- Assist in plate-making and platemaking equipment maintenance, including cleaning, inspection, and replacement of plates and consumables, while complying with environmental and solvent handling procedures.
- Follow and document ISO, G7, or internal color control processes, contribute to continuous improvement activities to reduce waste and rework, and apply lean manufacturing principles in the prepress and finishing areas.
- Communicate directly with designers, account managers, and clients to clarify artwork requirements, provide status updates, recommend file fixes, and ensure expectations are met on quality and delivery schedules.
- Execute small-format and large-format scanning, image capture, and retouching duties as required, including color correction, image restoration, and compositing in Adobe Photoshop to meet print quality targets.
- Conduct routine preventative maintenance on presses, RIP servers, plotters, laminators, and finishing equipment, keep maintenance logs, and coordinate vendor service calls when escalated repairs or parts replacement is required.
- Maintain health and safety standards in the production area, including proper handling of inks, solvents, and cutting tools, enforce machine guarding, and participate in safety audits and training sessions.
- Train and mentor junior production assistants and interns on prepress workflows, color management basics, safety protocols, and quality standards to build internal capability and resilience.
- Track and record production metrics such as setup times, press hours, yield, waste, and reprints; provide feedback to supervisors to help optimize scheduling and cost estimation accuracy.
- Participate in pre-production meetings and daily production planning huddles to prioritize urgent jobs, align resources, adjust timelines, and help forecast capacity for upcoming print runs.
- Implement digital file versioning and backup strategies, ensure secure transfer methods for client files (FTP, Aspera, secure cloud), and protect intellectual property through correct handling of proprietary artwork and brand assets.
Secondary Functions
- Support ad-hoc production requests, including rush job setups, quick-turn proofs, and emergency reprints, while maintaining quality control under tight deadlines.
- Assist the team with cross-functional projects such as packaging mockups, point-of-sale assembly, and event signage to ensure consistent brand reproduction across media.
- Contribute to process documentation by writing or updating standard operating procedures (SOPs), job preparation checklists, and troubleshooting guides to improve team knowledge retention.
- Help evaluate and test new prepress tools, RIP upgrades, or finishing equipment with hands-on trials and provide practical feedback to supervisors about production impact and ROI.
- Participate in continuous training on updated color standards, software releases (Adobe CC, RIP updates), and new substrate handling techniques to maintain best-in-class production capabilities.
- Provide basic data entry and reporting support for production management systems, assist with job costing records, and help prepare materials for invoicing and customer billing.
