Core Responsibilities

Primary Functions

  • Act as the primary liaison and dedicated point of contact for group leaders and clients from the initial inquiry stage through to post-trip or post-event follow-up.
  • Skillfully manage the entire group booking process, including gathering detailed requirements, creating customized itineraries, and securing all necessary arrangements.
  • Prepare, present, and negotiate comprehensive proposals, quotes, and contracts that align with both client expectations and company profitability goals.
  • Diligently manage group room blocks for hotels and resorts, meticulously tracking pickup, managing cutoff dates, and strategically releasing unused inventory to maximize revenue.
  • Coordinate and confirm all logistical components for the group, which may include transportation, accommodation, meeting space, catering, and audio-visual equipment.
  • Develop and maintain strong, collaborative relationships with a network of external vendors, including hotels, airlines, transportation companies, and tour operators, to ensure favorable rates and excellent service.
  • Proactively identify and pursue opportunities to upsell or cross-sell additional services, such as special tours, activities, private dinners, or travel insurance, to enhance the group experience and drive revenue.
  • Expertly handle all financial aspects of group accounts, including processing deposits, managing payment schedules, ensuring accurate invoicing, and resolving any billing discrepancies.
  • Maintain impeccable and detailed records of all client communications, contracts, and booking details within the company’s CRM or reservation system.
  • Provide on-the-spot, creative problem-solving for any issues, challenges, or last-minute changes that may arise before, during, or after the group's travel or event.
  • Liaise effectively with internal departments (such as Sales, Front Office, Catering, and Operations) to ensure all teams are aligned and prepared for the group's arrival and specific needs.
  • Craft and distribute professional and informative pre-arrival communications, including detailed itineraries, rooming lists, and welcome packets, to ensure group leaders are well-informed.
  • Conduct professional and persuasive site inspections and property tours for potential clients, showcasing the facilities and services available for their group.
  • Ensure all contractual obligations are met by both the client and the company, carefully monitoring deadlines and deliverables outlined in the group agreement.
  • Gather, analyze, and act upon client feedback and post-event surveys to identify areas for improvement and ensure high levels of customer satisfaction and repeat business.

Secondary Functions

  • Support the Sales and Marketing teams by providing insights on group market trends and assisting in the development of new group packages and promotional materials.
  • Generate and present regular reports on group activity, including sales pipeline, conversion rates, revenue forecasts, and final profitability analysis.
  • Stay current with industry trends, competitor activities, and new destinations or venues to maintain a competitive edge in the group market.
  • Assist in training new team members or other colleagues on group booking procedures, systems, and best practices for client management.
  • Participate in industry trade shows, networking events, and FAM trips to build professional relationships and generate new leads for group business.
  • Support ad-hoc data requests and exploratory data analysis.
  • Contribute to the organization's data strategy and roadmap.
  • Collaborate with business units to translate data needs into engineering requirements.
  • Participate in sprint planning and agile ceremonies within the data engineering team.

Required Skills & Competencies

Hard Skills (Technical)

  • CRM & Reservation Systems: High proficiency in using Customer Relationship Management (CRM) software (e.g., Salesforce, HubSpot) and industry-specific reservation systems (e.g., Opera, Sabre, Amadeus).
  • Contract Management: Strong ability to draft, interpret, and manage client contracts, with a keen eye for detail regarding terms, conditions, and clauses.
  • Microsoft Office Suite: Advanced skills in Microsoft Office, particularly Excel for creating reports, budgets, and rooming lists, and PowerPoint/Word for proposals.
  • Financial Acumen: Solid understanding of billing, invoicing, and payment processing procedures, with the ability to manage group budgets and financial records accurately.
  • Project Coordination: Experience in using project or event management tools to track timelines, tasks, and logistical details for multiple groups simultaneously.

Educational Background
