Core Responsibilities

Primary Functions

  • Greet all members, prospective members, and guests with a warm and professional demeanor to create a welcoming first impression.
  • Conduct comprehensive tours of the facility for potential members, highlighting key amenities, services, and membership benefits to drive sales.
  • Process new membership agreements, renewals, and cancellations accurately and efficiently using our member management software.
  • Manage the front desk area, including answering multi-line phones, responding to emails, and directing inquiries to the appropriate staff members.
  • Provide exceptional customer service by addressing member questions, feedback, and concerns in a timely and professional manner, escalating complex issues as needed.
  • Maintain a deep knowledge of all gym programs, services, class schedules, and pricing to effectively assist members and promote sales.
  • Ensure the gym floor, locker rooms, studios, and common areas are consistently clean, organized, and meet our brand standards for presentation.
  • Conduct regular walk-throughs of the facility to monitor equipment for proper function, reporting any maintenance needs or safety hazards immediately.
  • Assist members with basic equipment orientation, demonstrating proper and safe usage to new or inexperienced individuals.
  • Manage the point-of-sale (POS) system for processing payments for memberships, personal training, retail merchandise, and other services.
  • Oversee the scheduling of personal training appointments, group fitness classes, and other facility reservations for members.
  • Enforce all gym policies and procedures consistently and politely to ensure a safe and respectful environment for everyone.
  • Perform daily opening and closing procedures, including cash handling, end-of-day reporting, and securing the facility.
  • Monitor and maintain inventory levels for retail products, towels, and cleaning supplies, coordinating with the Gym Coordinator to place orders.
  • Actively participate in building a positive community atmosphere by engaging with members and encouraging their fitness journey.

Secondary Functions

  • Assist the Gym Coordinator and marketing team in planning, promoting, and executing member engagement events, wellness challenges, and social gatherings.
  • Support the creation and distribution of promotional materials, including updating social media channels, posting in-club flyers, and contributing to email newsletters.
  • Help manage the group fitness schedule, including finding substitutes for instructors when needed and communicating changes to members.
  • Maintain and organize member files and administrative documents, ensuring data confidentiality and accuracy.
  • Prepare daily and weekly operational reports summarizing membership sales, guest traffic, and facility usage statistics.
  • Provide support for ad-hoc projects and initiatives as assigned by the Gym Coordinator or management to improve facility operations and member experience.

Required Skills & Competencies

Hard Skills (Technical)

  • Proficiency in gym management software (e.g., Mindbody, ABC Fitness, ClubReady).
  • Experience operating Point-of-Sale (POS) systems and handling cash/credit transactions.
  • Competency with Microsoft Office Suite (Word, Excel, Outlook) for reporting and communication.
  • Current CPR, First Aid, and AED certification is required or must be obtained shortly after hiring.
  • Basic understanding of fitness equipment, exercise principles, and safety protocols.
  • Familiarity with social media platforms for business promotion.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED.

Preferred Education:

  • Associate's or Bachelor's Degree.

Relevant Fields of Study:

  • Hospitality or Business Management
  • Sports Management or Recreation

Experience Requirements

Typical Experience Range: 1-3 years

Preferred:

  • At least 1 year of experience in a customer-facing role, preferably within the fitness, hospitality, or high-end retail sectors.
  • Previous experience working in a health club, gym, or similar wellness facility is highly desirable.
  • Demonstrated experience in a role requiring strong administrative and organizational skills.
