Core Responsibilities

Primary Functions

  • Inspect incoming hats thoroughly and document condition, material type, construction details, stains, odors, shape deformation, and prior repairs to create accurate cleaning and restoration plans that minimize risk and preserve value.
  • Select and apply appropriate cleaning methods (wet-cleaning, dry-cleaning solvents, spot treatment, ultrasonic baths, steam cleaning) based on fiber content, hat construction and label instructions while following manufacturer and conservation guidelines.
  • Execute delicate stain removal using targeted chemical treatments (enzymatic cleaners, solvent-based removers, pH-balanced detergents) and mechanical techniques (gentle brushing, blotting, vacuum extraction) to remove oils, sweat, dye transfer, ink, food stains, and watermarks without damaging fibers or trims.
  • Perform structured steaming and blocking procedures to restore hat crown shape, brim curvature, and overall silhouette using hat blocks, steam cabinets, hand steamers, and tensioning tools while monitoring moisture and heat exposure to avoid shrinkage or felting.
  • Conduct repairs and refurbishment including re-sewing hatbands, replacing sweatbands, reattaching trims, patching straw or fabric, reinforcing seams, and performing light millinery reconstruction to restore functionality and appearance.
  • Condition and clean leather components using appropriate leather cleaners, conditioners, and waterproofing treatments; repair minor scuffs and recommend specialist leather restoration for extensive damage.
  • Handle straw and natural fiber hats using humidity control, straw weave tightening, and edge stabilization techniques to correct deformation and prevent cracking while avoiding over-humidification.
  • Remove odors and biological contaminants through enzymatic deodorization, ozone or activated-carbon treatments, and gentle airing protocols tailored to hat materials and client sensitivity (e.g., allergy-safe processes).
  • Operate and maintain specialty equipment including hat presses, steam cabinets, ultrasonic cleaners, vacuum extraction units, low-temperature dryers, and spotting boards, ensuring calibration and safe operation.
  • Maintain strict adherence to chemical safety protocols by reading and following MSDS instructions, using appropriate PPE (gloves, respirators), mixing chemicals correctly, and disposing of waste according to local regulations.
  • Accurately estimate cleaning and repair costs, prepare written quotes, and communicate service timelines and expected outcomes to customers, upselling value-add services like shaping, reblocking, or preservation-grade packaging when appropriate.
  • Package and label restored hats for pickup or shipment, using acid-free tissue, hat boxes, and humidity indicators to ensure preservation during transit, and coordinate with shipping carriers for insured transport of high-value items.
  • Keep detailed service records, before-and-after photographs, and digital logs to support warranty claims, quality tracking, and continuity of care for repeat customers and institutional clients.
  • Enforce quality control checks at multiple stages of the cleaning and restoration process to ensure consistency with company standards and to catch any residual stains, structural issues, or aesthetic concerns before delivery.
  • Support inventory management of cleaning supplies, trims, hat boxes, steamers, and spare parts by tracking usage, reordering consumables, and maintaining organized storage to reduce downtime and cost.
  • Train and mentor junior cleaners and seasonal staff on hat-specific cleaning techniques, safety procedures, and company quality expectations to build a competent, cross-functional team.
  • Collaborate with retail staff, costume designers, conservators, and production teams to prioritize rush orders, adapt cleaning plans for theatrical production schedules, and provide technical guidance on hat care.
  • Create and update standard operating procedures (SOPs) for new materials, tool usage, and cleaning formulations to reflect best practices and to optimize throughput while protecting delicate or vintage items.
  • Inspect and execute minor alterations for fitted hats, including sizing adjustments, sweatband replacement, and small structural tweaks to improve fit and customer satisfaction.
  • Conduct periodic preventative maintenance and preservation projects for stored hat collections, applying moth-proofing, humidity control strategies, and handling protocols to prolong life of inventory and archival pieces.
  • Provide exceptional customer service at point of contact by discussing treatment options, explaining risks, and offering care instructions and follow-up recommendations that reduce repeat damage and promote customer loyalty.
  • Monitor trends in millinery materials and restoration technology, and recommend investments in new tools or training that will improve service quality, turnaround time, or the ability to work with specialty materials.

Secondary Functions

  • Maintain a clean, safe, and organized workshop and customer-facing area by sweeping workstations, sanitizing tools, and removing chemical residues to uphold health and safety standards.
  • Assist retail staff with merchandising cleaned hats, preparing display-ready stock, advising on fit and styling, and updating product signage to reflect restored inventory.
  • Participate in light administrative tasks including processing invoices, updating customer records in the POS or CRM, and scheduling appointments to streamline operations.
  • Coordinate sample testing and small-batch pilot cleaning runs when evaluating new cleaning agents or processes to validate efficacy and safety before full implementation.
  • Support loss prevention and asset tracking by tagging high-value hats, logging chain-of-custody during multi-stage restorations, and reconciling returns or claims.
  • Help source specialty materials and trims from suppliers, obtain cost comparisons, and maintain vendor relationships to ensure quality components for repairs.
  • Assist marketing by providing before-and-after imagery and technical blurbs for website content, social media, and service descriptions that highlight restoration capabilities.
  • Provide overflow support to nearby workshop locations or production wardrobe departments during peak seasons, special events, or theatrical runs.
  • Perform basic retail tasks such as ringing up cleaned items, handling customer pick-ups and returns, and managing appointment reminders when required.
  • Contribute to sustainability initiatives by recommending eco-friendly cleaning formulations, recycling programs for packaging, and best-practice waste reduction in the shop.
