Core Responsibilities

Primary Functions

  • Manage and coordinate the scheduling of patient appointments, consultations, diagnostic tests, and surgical procedures across multiple physician calendars.
  • Serve as the first point of contact for patients, greeting them upon arrival, and handling the check-in and check-out processes with professionalism and compassion.
  • Accurately register new patients and meticulously update existing patient records with demographic, insurance, and medical history information in the Electronic Health Record (EHR) system.
  • Handle a high volume of inbound and outbound communications, including multi-line phone systems, emails, and faxes, routing messages and inquiries to the appropriate personnel.
  • Perform insurance eligibility verification and pre-authorizations for appointments and procedures to ensure seamless billing and patient care.
  • Transcribe physician dictations, operative reports, and other medical documents with a high degree of accuracy and proficiency in medical terminology.
  • Coordinate patient referrals to other specialists, ensuring all necessary medical records and documentation are transferred securely and efficiently.
  • Prepare, manage, and route both internal and external medical correspondence, including letters, memos, and patient information packets.
  • Facilitate the flow of clinical information by retrieving and filing patient charts, lab results, and imaging reports for physician review.
  • Uphold strict patient confidentiality at all times, ensuring full compliance with HIPAA regulations and organizational privacy policies.
