Core Responsibilities

Primary Functions

  • Receive, accession and log incoming patient specimens with precise demographic verification and labeling in the laboratory information system (LIS), ensuring chain-of-custody and compliance with institutional and regulatory policies.
  • Perform venipuncture, capillary punctures and other specimen collection procedures for routine and stat testing, demonstrating proper technique and patient communication to minimize recollections and pre-analytical errors.
  • Prepare specimens for testing by centrifuging, aliquoting, decanting, labeling, aliquot freezing/thawing, and storing samples according to test-specific protocols and temperature requirements.
  • Process microbiology, hematology and chemistry specimens for initial preparation (smears, slides, culture streaking preparations, Gram staining) under the supervision of qualified laboratory personnel.
  • Operate and maintain common laboratory equipment such as centrifuges, microcentrifuges, pipettes, refrigerators/freezers, cryostorage, and microscopes; perform routine calibration checks and document maintenance activities.
  • Accurately enter test orders, sample status updates and preliminary numeric or qualitative results into the LIS or electronic medical record (EMR), and communicate urgent STAT results to ordering clinicians by established communication protocols.
  • Perform routine point-of-care testing (POCT) duties as authorized (e.g., glucometers, rapid antigen tests), including quality control testing, instrument QC logs, and documentation of results in compliance with CLIA-waived testing policies.
  • Prepare reagents, media and solutions according to standardized recipes and batch records, including correctly labeling expiration dates and storage conditions and documenting lot numbers for traceability.
  • Adhere to and enforce biosafety and infection control procedures including proper use of PPE, aseptic technique, spill response, and correct segregation, labeling and disposal of biohazardous waste and sharps.
  • Conduct daily quality control (QC) tasks such as running controls, recording QC data, and escalating out-of-range QC findings to supervisors for investigation and corrective action.
  • Triage and prioritize incoming specimen workload to meet clinical turnaround time (TAT) expectations, coordinate stat sample processing and ensure urgent diagnostic needs are escalated immediately.
  • Support molecular testing workflows by preparing nucleic acid extraction plates, aliquoting specimens for send-out testing, and participating in sample tracking for external reference laboratories.
  • Maintain detailed logbooks and documentation for equipment usage, incubation times, maintenance, and corrective actions to support audits and accreditation bodies such as CAP and CLIA.
  • Assist in troubleshooting routine instrument alarms and performance issues, initiate service requests with vendors, and coordinate equipment downtime communication to clinical stakeholders.
  • Participate in specimen retention, retrieval and disposal processes, maintaining accurate retention logs and ensuring appropriate long-term storage conditions per laboratory policy.
  • Follow Standard Operating Procedures (SOPs) and institutional policies for specimen handling, labeling, and testing; recommend SOP updates when process improvements or safety concerns are identified.
  • Conduct visual inspections of incoming specimens for hemolysis, clotting, insufficient volume, leaks or labeling errors and document and communicate specimen rejection or recollection needs in accordance with rejection criteria.
  • Assist with department-level quality improvement initiatives including workflow mapping, process standardization, root cause analyses, and implementation of corrective actions to improve accuracy and efficiency.
  • Provide mentorship and on-the-job training to new laboratory assistants and phlebotomy trainees on specimen collection techniques, safety practices, and LIS data entry procedures.
  • Collaborate with nursing units, outpatient clinics and phlebotomy teams to coordinate patient scheduling, specimen pick-up and courier handoffs to ensure continuous sample flow and minimize delays.
  • Maintain an organized, clean and safe laboratory environment by performing routine cleaning, stocking consumables, monitoring supply levels and placing orders to ensure uninterrupted testing operations.
  • Participate in internal audits, competency assessments and continuing education to maintain clinical competency, certification requirements and up-to-date knowledge of laboratory regulations.
  • Ensure patient confidentiality and compliance with HIPAA and institutional privacy policies when handling specimens, reporting results, and communicating with patients or providers.

Secondary Functions

  • Assist laboratory leadership in daily workflow planning by providing specimen volume forecasts and communicating anticipated bottlenecks during peak hours or high-volume clinical events.
  • Support inventory management by conducting routine stock counts, rotating reagents by expiration date, and initiating purchase requests for critical supplies to prevent stockouts.
  • Participate in interdisciplinary huddles with nursing, radiology and clinic staff to clarify specimen collection instructions, special handling needs, and to reduce pre-analytical errors.
  • Help manage courier schedules and prepare shipments to reference laboratories, ensuring proper packaging, labeling, and documentation for regulated transport of human specimens.
  • Contribute to validation and verification activities for new reagents, supplies or POCT devices by preparing parallel testing specimens and documenting comparative results.
  • Provide front-line customer service to patients and clinical staff, answering specimen-related questions, resolving simple issues and escalating complex problems to supervisors.
  • Support ad-hoc data requests such as sample volume reports, turnaround time metrics and QC trend exports to help the laboratory monitor performance and meet reporting requirements.
  • Participate in safety drills, emergency response planning and equipment emergency shutdown procedures to maintain readiness for unexpected events.

Required Skills & Competencies

Hard Skills (Technical)

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED required.

Preferred Education:

  • Associate degree in Medical Laboratory Technology, Clinical Laboratory Science, Medical Assisting, or related allied health field.
  • Completion of an accredited phlebotomy program or laboratory assistant certificate.

Experience Requirements

  • Current phlebotomy certification (CPT, PBT) or Medical Laboratory Assistant certification preferred.
