Core Responsibilities

Primary Functions

  • Lead the planning, execution, and delivery of enterprise-wide healthcare projects, such as Electronic Health Record (EHR) implementations, system upgrades, telehealth platform rollouts, and new facility integrations.
  • Define comprehensive project scope, objectives, and deliverables in close collaboration with senior management, clinical leaders, and key stakeholders to ensure alignment with organizational strategy.
  • Develop and manage detailed project plans, work breakdown structures (WBS), and timelines, meticulously tracking all milestones and dependencies using tools like MS Project or Smartsheet.
  • Create, monitor, and manage project budgets, tracking actual expenditures against forecasts and providing regular financial reporting to the steering committee.
  • Serve as the primary point of communication for the project, facilitating productive meetings and ensuring all stakeholders—from physicians and nurses to IT analysts and executives—are kept informed and engaged.
  • Proactively identify, assess, and document project risks and issues, developing and implementing robust mitigation and contingency plans to keep the project on track.
  • Coordinate and direct the efforts of cross-functional internal teams and external third-party vendors, ensuring flawless execution and accountability for all project phases.
  • Manage changes to the project scope, schedule, and costs effectively, utilizing formal change control processes and communicating impacts to all stakeholders.
  • Ensure all project activities and deliverables are in strict compliance with healthcare regulations, including HIPAA, HITECH, and other relevant patient privacy and security standards.
  • Develop and maintain all essential project documentation, including project charters, status reports, risk logs, decision registers, and communication plans.
  • Lead change management initiatives associated with the project, working with operational leaders to ensure smooth adoption of new technologies and workflows by end-users.
  • Facilitate the resolution of complex conflicts and roadblocks by navigating organizational dynamics and mediating between differing stakeholder interests.
  • Manage vendor relationships, from selection and contract negotiation to performance monitoring and ensuring deliverables meet quality and contractual requirements.
  • Conduct thorough post-project evaluations and lessons-learned sessions to drive continuous improvement within the Project Management Office (PMO) and for future projects.
  • Prepare and deliver compelling, data-driven presentations on project status, risks, and outcomes to executive leadership and governance committees.
  • Oversee resource allocation and scheduling, ensuring that project teams are structured for success and that team members' time is utilized effectively.
  • Guide the project through the full System Development Life Cycle (SDLC), from initial requirements gathering and design to testing, deployment, and post-go-live support.
  • Establish and track key performance indicators (KPIs) and metrics to measure project success and demonstrate value to the organization.
  • Build and nurture strong, collaborative relationships with clinical and business unit leaders to become a trusted advisor on project-related matters.
  • Champion project management best practices (e.g., PMBOK, Agile/Scrum) across the organization and mentor junior project managers or coordinators.
