Core Responsibilities
Primary Functions
- Lead, coach and develop a cross-functional materials management team (receiving, storeroom, distribution, inventory control) to meet departmental SLAs, KPIs and quality targets that support patient care continuity.
- Manage inventory optimization programs including PAR levels, cycle counts, ABC/FSN analysis, and periodic physical inventories to reduce stockouts, expirations, and inventory carrying costs.
- Oversee procurement activities for capital and non-capital medical supplies, implants and devices, consumables, and pharmaceuticals where applicable, ensuring compliance with hospital purchasing policies and vendor contracts.
- Negotiate vendor contracts, pricing, service level agreements and consignment/loaner terms with clinical suppliers and GPO partners to maximize cost avoidance and value-based sourcing.
- Implement demand forecasting and usage trending using historical consumption, case volume, and procedural schedules to improve replenishment accuracy and reduce emergency purchases.
- Coordinate material planning and case-cart logistics for the OR, cath lab and specialty procedural areas to ensure right-time access to implants, trays, and sterile instruments.
- Manage consignment inventory, vendor-managed inventory (VMI) programs and implant tracking processes, ensuring proper documentation of ownership, accountability and billing.
- Maintain compliance with regulatory and accreditation requirements (The Joint Commission, CMS, FDA, OSHA) related to storage, handling, traceability and recall management.
- Oversee temperature-controlled supply chain (“cold chain”) processes for vaccines, biologics and temperature-sensitive materials, ensuring monitoring, documentation and corrective actions as required.
- Develop, track and report supply chain KPIs (stockout rate, inventory turns, fill rate, days on hand, order cycle time, cost avoidance) for executive leadership and continuous improvement initiatives.
- Lead root-cause investigations into supply disruptions, vendor performance issues and recurring inventory discrepancies; implement corrective actions and process standardization.
- Partner with clinical leaders (nursing, physicians, sterile processing) to align supply standardization, product evaluation, OR preference cards, and product conversion projects that improve outcomes and reduce cost.
- Oversee receiving, inspection, and returns processes, ensuring accurate goods receipt, lot/date tracking, and timely processing of credits or recalls.
- Administer perpetual inventory systems and ERP integrations (e.g., Lawson, PeopleSoft, Oracle, Meditech) with purchasing, finance and clinical systems to ensure accurate master data and item mapping.
- Manage departmental budgeting, forecasting and expense control for supplies and materials; contribute to annual operating plan and identify opportunities for cost savings.
- Drive Lean/Six Sigma-based process improvement projects (waste reduction, workflow redesign, cycle time improvement) to improve throughput and service levels.
- Supervise onboarding, scheduling, performance reviews and disciplinary processes for materials staff, ensuring adequate staffing and training for peak surgical schedules and emergencies.
- Lead disaster preparedness and emergency supply planning (surge stock, alternative suppliers, mutual aid) to maintain continuity of supply during incidents.
- Ensure accurate charge capture and supply cost reconciliation with revenue cycle and implant tracking systems to optimize reimbursement and reduce lost charges.
- Conduct internal audits and support external audits related to inventory, controlled items, sterilization documentation and supply chain compliance; drive corrective action closure.
- Support vendor selection, product evaluation, clinical trials and new product introductions, coordinating cross-functional testing, training and implementation plans.
- Manage asset and capital equipment acquisition workflows, including bid comparisons, vendor evaluation, lease vs. buy analysis and warranty/service contract management.
- Maintain and update standard operating procedures (SOPs), storeroom layout plans and lifecycle management for slow-moving or obsolete items.
- Serve as primary liaison to corporate supply chain/GPO analysts for data synchronization, rebate programs, and enterprise purchasing initiatives.
- Monitor market trends and supplier risk (single-source dependencies, lead-time variability) and recommend strategic sourcing alternatives to mitigate supply chain risk.

Educational Background
Minimum Education:
- Bachelor’s degree in Supply Chain Management, Healthcare Administration, Business, Logistics, Nursing, Pharmacy, or related field; or equivalent combination of education and progressive healthcare materials experience.
Preferred Education:
- Bachelor’s or Master’s degree in Healthcare Administration, Supply Chain Management, Business Administration, or related field.
