The Host Assistant is a pivotal member of our front-of-house team, acting as a brand ambassador and the first and last point of contact for every guest. Working closely with the Lead Host, management, and service staff, the Host Assistant helps orchestrate the flow of the dining room, manage guest reservations and waitlists, and resolve minor guest inquiries. Core Responsibilities
Primary Functions
- Warmly and graciously greet all incoming and departing guests, making direct eye contact and using their names when possible to create a personalized and welcoming experience.
- Professionally manage a multi-line phone system, answering inquiries about reservations, directions, and restaurant services with clarity and courtesy.
- Skillfully operate the digital reservation and table management system (e.g., OpenTable, Resy) to manage bookings, cancellations, and special guest requests.
- Accurately quote and manage wait times for walk-in guests, maintaining a clear and organized waitlist while keeping guests informed of their status.
- Strategically plan and execute seating arrangements, considering server sections, table turnover rates, and guest preferences to optimize dining room flow and efficiency.
- Escort guests to their designated tables, engaging in light conversation and presenting menus in a professional and friendly manner.
- Communicate effectively with servers and managers regarding table status, guest arrivals, special occasions (birthdays, anniversaries), and any specific guest needs or VIPs.
- Maintain a pristine and inviting entrance and lobby area, ensuring it is clean, organized, and free of clutter at all times.
- Assist guests with accessibility needs, ensuring they are comfortably and safely seated in appropriate areas.
- Handle initial guest concerns or complaints with empathy and professionalism, escalating to a manager when necessary to ensure prompt resolution.
- Develop a comprehensive knowledge of the menu, daily specials, and beverage offerings to confidently answer guest questions.
- Process and manage to-go and delivery orders, ensuring accuracy and timely preparation in coordination with the kitchen and service staff.
- Observe the dining room to anticipate guest needs and identify tables that are ready to be cleared and reset.
- Thank guests upon their departure, inquiring about their experience and inviting them to return, reinforcing a positive final impression.
- Support the service team during peak hours by assisting with non-serving tasks, such as refilling water glasses or clearing plates, to enhance team synergy.
Secondary Functions
- Assist in managing the coat check service, ensuring guest belongings are stored securely and retrieved efficiently.
- Participate in pre-shift meetings to stay informed about daily specials, promotions, and operational updates.
- Help maintain and update physical menus, ensuring they are clean, presentable, and current.
