Core Responsibilities
Primary Functions
- Conduct and oversee the daily income audit process, meticulously verifying and balancing all revenue streams from rooms, food & beverage, and other outlets.
- Manage the full cycle of accounts payable, including processing invoices, verifying approvals, and ensuring timely payments to vendors while maintaining positive relationships.
- Handle all aspects of accounts receivable, from generating guest and group invoices (city ledger) to actively pursuing collections and minimizing outstanding balances.
- Prepare and distribute accurate and timely monthly financial statements, including the Profit & Loss (P&L) statement, Balance Sheet, and Statement of Cash Flows.
- Perform daily, weekly, and monthly bank reconciliations for all operating, payroll, and depository accounts to ensure cash accuracy and identify discrepancies.
- Lead the month-end and year-end closing processes, including the preparation of journal entries, accruals, and balance sheet reconciliations in a timely manner.
- Assist the Director of Finance or Controller in the development of the annual budget and periodic financial forecasts, providing historical data and analytical support.
- Process or verify bi-weekly or semi-monthly payroll, ensuring accuracy of hours, rates, deductions, and compliance with labor regulations.
- Ensure strict adherence to all internal financial controls, company policies, and government regulations, including GAAP and the Uniform System of Accounts for the Lodging Industry (USALI).
- Manage and reconcile the hotel's petty cash funds and other house banks, conducting regular surprise counts and ensuring proper documentation for all disbursements.
- Oversee the reconciliation of all credit card transactions, processing payments, and diligently managing and responding to any guest chargebacks or disputes.
- Act as a key point of contact and provide essential support for internal and external audits, preparing schedules and providing necessary documentation.
- Maintain the integrity of the general ledger, ensuring all transactions are correctly coded and posted to the appropriate accounts.
- Analyze financial data to identify operational trends, cost variances, and potential opportunities for cost savings or revenue enhancement, presenting findings to management.
- Prepare and file various tax returns and reports, including sales tax, occupancy tax, and other local or state-specific taxes.
- Maintain the hotel's fixed asset schedule, tracking acquisitions, disposals, and calculating monthly depreciation.
- Review and approve purchase orders and expense reports, verifying budget availability and adherence to company purchasing policies.
- Liaise directly with department heads to review their monthly financial performance, explain variances, and provide guidance on managing their departmental budgets.
- Meticulously reconcile the guest ledger with the property management system (PMS) daily, ensuring all charges and payments are accurately posted.
- Produce various ad-hoc financial reports and analyses as requested by the General Manager, Controller, or corporate office to support strategic decision-making.

Required Skills & Competencies
Hard Skills (Technical)

- Experience with major Property Management Systems (PMS) like Oracle Opera, Fidelio, or Lightspeed.
- Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, SUMIF, and financial modeling.
- Strong understanding of Generally Accepted Accounting Principles (GAAP) and the Uniform System of Accounts for the Lodging Industry (USALI).
- Demonstrated ability to prepare and analyze financial statements (P&L, Balance Sheet).
