Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for group leaders, event planners, and VIP guests, managing all communications from initial inquiry through post-stay follow-up.
  • Meticulously coordinate and manage all logistical aspects of group bookings, including creating and overseeing room blocks, managing cutoff dates, and ensuring reservation accuracy.
  • Prepare and distribute highly detailed Group Resumes and Banquet Event Orders (BEOs) to all operational departments to ensure flawless execution of guest and event requirements.
  • Actively liaise between the sales team, front office, housekeeping, and food & beverage departments to ensure a seamless and unified approach to service delivery for groups and events.
  • Facilitate crucial pre-convention and planning meetings with clients and key hotel department heads to align on expectations and confirm all arrangements.
  • Expertly handle a high volume of guest and client inquiries, special requests, and any arising issues with a high degree of professionalism, empathy, and efficiency.
  • Process and manage complex reservations, modifications, and cancellations for groups and events within the Property Management System (PMS), ensuring data integrity.
  • Conduct professional and engaging site inspections and hotel tours for prospective corporate clients, tour operators, and event planners to showcase the property's facilities and services.
  • Manage and verify all payment arrangements for groups, including direct billing applications, credit authorizations, and deposit schedules, to ensure financial security.
  • Provide on-site support and serve as the main hotel contact during major events, high-occupancy periods, or for VIP arrivals to proactively troubleshoot and ensure guest satisfaction.
  • Ensure all special arrangements, such as VIP amenities, welcome gifts, specific room setups, and accessibility needs, are anticipated and executed to perfection.
  • Reconcile final group accounts and event folios, meticulously verifying all charges to ensure accurate and timely final billing.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis by preparing detailed reports on group booking pace, room block pickup, and event-related revenue streams.
  • Contribute to the organization's data strategy and roadmap by maintaining pristine and organized records of all client correspondence, contracts, and event documentation in the CRM or sales software.
  • Collaborate with business units to translate data needs into engineering requirements by assisting the Director of Sales or Hotel Manager with administrative tasks, reporting, and special projects.
  • Participate in sprint planning and agile ceremonies within the data engineering team by attending regular departmental meetings to stay informed on hotel-wide initiatives, promotions, and operational updates.
  • Upsell hotel services and amenities, including catering packages, spa treatments, and recreational activities, to enhance the guest experience and drive ancillary revenue.
  • Maintain a comprehensive knowledge of hotel policies, local attractions, and events to act as a knowledgeable resource for both guests and internal teams.
  • Coordinate with approved external vendors for services such as audio-visual equipment, floral arrangements, and transportation to fulfill specific client needs.
  • Monitor event space and guest room block inventory to help the revenue management team maximize hotel occupancy and overall profitability.
  • Assist in drafting proposals and contracts for group sales and events under the guidance of the sales management team.

Required Skills & Competencies

  • Property Management System (PMS) Proficiency: Advanced skills in hotel PMS software such as Opera, Fidelio, or similar systems for managing reservations and guest data.
  • Sales & Catering Software: Experience using CRM or event management software like Delphi, Salesforce, or Caterease to manage client accounts and event details.
  • Microsoft Office Suite: Strong command of Excel for reporting and tracking, Word for correspondence and contracts, and Outlook for communication.
  • Contract Management: Ability to read, understand, and manage the details of group and event contracts, including clauses, deadlines, and obligations.
