Core Responsibilities
Primary Functions
- Greet, register, and assign rooms to guests, ensuring a warm and welcoming check-in experience throughout the overnight shift.
- Manage all aspects of guest departures, including processing payments, resolving folio discrepancies, and ensuring a smooth and efficient check-out process.
- Act as the primary Manager on Duty during the overnight hours, handling all guest inquiries, concerns, and emergencies with professionalism and sound judgment.
- Perform the end-of-day audit process, meticulously verifying and balancing all financial transactions, including room charges, cash, checks, and credit cards.
- Reconcile and close out all point-of-sale (POS) systems, ensuring that daily revenues from all hotel outlets are accurately posted and accounted for.
- Prepare and compile comprehensive daily financial reports for hotel management, summarizing revenue, occupancy, and other key performance indicators.
- Process and post all room and tax charges to guest accounts, verifying that rates are correct and all charges are accurately reflected on guest folios.
- Conduct a thorough review of all guest credit reports and ledgers to ensure accuracy and resolve any discrepancies before the close of business.
- Manage and resolve guest billing inquiries and disputes, providing clear explanations and adjustments as necessary while maintaining guest satisfaction.
- Respond promptly to all incoming calls and guest requests, dispatching requests to appropriate departments or handling them personally during the night shift.
- Run and distribute a series of critical system reports from the Property Management System (PMS), including arrival/departure lists, housekeeping status reports, and emergency reports.
- Maintain a vigilant watch over hotel security, performing regular property walks, monitoring security cameras, and being the first responder to any unusual activity or emergency situations.
- Handle all late-night reservation inquiries, modifications, and cancellations via phone, email, and in-person, ensuring accuracy in the reservation system.
- Prepare the front desk for the morning shift by organizing paperwork, replenishing supplies, and communicating any important information in a detailed pass-on log.
- Act as a central communication hub for all overnight hotel activities, coordinating with housekeeping, security, and engineering to address any issues that arise.
- Ensure the hotel lobby and common areas remain clean, presentable, and welcoming for guests arriving or departing during the night.
- Manage the wake-up call schedule, ensuring all requests are logged accurately and calls are made on time to guarantee guest satisfaction.
- Maintain an up-to-date knowledge of all hotel services, amenities, local attractions, and emergency procedures to assist guests effectively.
- Process and file all necessary paperwork from the day's operations, ensuring records are organized and accessible for accounting and management review.

- Strong knowledge of night audit procedures, including balancing accounts and closing daily financial records.
- Competency in operating Point of Sale (POS) systems and credit card processing terminals.
- Fundamental understanding of basic accounting and bookkeeping principles.
- Proficient in the use of Microsoft Office Suite, particularly Excel for creating and analyzing reports.
