Core Responsibilities

Primary Functions

  • Cultivate and maintain positive, long-term relationships with residents, acting as their primary point of contact for all inquiries, concerns, and feedback to ensure high levels of satisfaction and retention.
  • Manage the end-to-end leasing process, including responding to inquiries, conducting property tours for prospective tenants, and presenting our properties in the best possible light.
  • Meticulously screen and process prospective tenant applications, which involves conducting background checks, verifying employment and income, and checking references to ensure compliance with fair housing laws.
  • Prepare, execute, and manage all lease agreements and renewal documentation, ensuring accuracy and adherence to local, state, and federal housing regulations.
  • Perform detailed and routine inspections of properties, including move-in, move-out, and periodic checks, to ensure compliance with safety standards and uphold the aesthetic quality of the portfolio.
  • Serve as the central liaison between residents and maintenance teams or external vendors, efficiently scheduling and overseeing repairs to resolve issues promptly and minimize disruption.
  • Develop and execute innovative marketing strategies for vacant units across multiple digital platforms and local channels to attract a wide pool of qualified applicants and minimize vacancy periods.
  • Proactively identify and address potential property issues, from preventative maintenance needs to resident disputes, implementing effective solutions to mitigate risks.
  • Conduct comprehensive market analysis to stay informed about local rental trends, competitor pricing, and neighborhood developments to inform leasing and pricing strategies.
  • Manage all resident communications, including newsletters, community announcements, and formal notices, fostering a strong sense of community and keeping residents informed.
  • Oversee the rent collection process, including tracking payments, issuing reminders, and managing delinquencies in a professional and legally compliant manner.
  • Coordinate the seamless turnover of units between residents, including scheduling cleaning services, repairs, and final inspections to ensure homes are move-in ready.
  • Maintain impeccable and organized records for each property and resident, utilizing property management software for all documentation, communication logs, and financial transactions.
  • Enforce community policies and lease terms consistently and fairly to ensure a safe, clean, and harmonious living environment for all residents.
  • Assist in the development and management of the property's operational budget, tracking expenses and identifying opportunities for cost savings.
  • Onboard new residents with a comprehensive welcome process, ensuring they are familiar with the property, community rules, and available amenities.

Secondary Functions

  • Support the Property Manager with ad-hoc projects and strategic initiatives aimed at improving operational efficiency and the resident experience.
  • Generate and analyze regular reports on key performance indicators such as occupancy rates, leasing traffic, renewal rates, and maintenance response times.

  • Participate in industry training and local apartment association meetings to stay current on fair housing laws, landlord-tenant regulations, and best practices.

Experience Requirements

Typical Experience Range: 2-5 years of experience in property management, real estate, or a related customer-facing role.
