Core Responsibilities

Primary Functions

  • Actively listen to and assist customers (primarily HVAC contractors) in person, over the phone, and via email to identify their needs for parts, supplies, and equipment.
  • Provide accurate product information, technical specifications, and pricing to guide customers toward the best solutions for their applications.
  • Process customer orders efficiently and accurately using the company's business system (e.g., ERP software), from quote creation to final invoicing.
  • Generate and follow up on sales quotes, proactively engaging with customers to convert quotes into firm orders and drive revenue.
  • Promote and sell a wide range of HVAC/R products, including new equipment, replacement parts, and associated supplies, while highlighting features and benefits.
  • Develop and maintain strong, long-term relationships with a portfolio of customers, becoming their go-to resource for all HVAC-related needs.
  • Utilize consultative sales skills to upsell and cross-sell complementary products and services, maximizing the value of each customer transaction.
  • Handle customer inquiries regarding order status, product availability, delivery schedules, and potential backorders with professionalism and urgency.
  • Research and identify appropriate parts and equipment using catalogs, computer databases, and cross-reference materials, often for older or obscure systems.
  • Troubleshoot basic technical issues and product application questions for customers, providing initial guidance or escalating to a technical specialist when necessary.
  • Process warranty claims, returns, and exchanges according to company policy, ensuring a smooth and fair experience for the customer.
  • Maintain a clean, organized, and well-stocked counter and showroom area, ensuring a professional and welcoming environment for customers.
  • Assist with inventory management, including participating in cycle counts, stock replenishment, and identifying slow-moving or obsolete items.
  • Stay current on new HVAC/R products, industry trends, and emerging technologies through company-provided training, vendor seminars, and self-study.
  • Collaborate effectively with warehouse staff to ensure timely and accurate order fulfillment, pickups, and deliveries.
  • Resolve customer complaints and issues promptly and effectively, aiming for a positive resolution that retains customer loyalty.
  • Manage cash and credit transactions securely and accurately, including operating the point-of-sale (POS) system and balancing the cash drawer.
  • Proactively contact customers to inform them of special promotions, new product launches, and training opportunities to generate business.
  • Assist in merchandising the showroom floor, setting up product displays, and ensuring promotional materials are current and engaging.
  • Maintain a high level of safety awareness in the workplace, adhering to all company safety protocols and procedures.

Secondary Functions

Required Skills & Competencies

Hard Skills (Technical)

  • Comprehensive knowledge of HVAC/R systems, parts, and equipment (residential and/or commercial).
  • Proficiency in using ERP/business management software (e.g., Eclipse, Mincron, SAP) for order entry and inventory lookup.
  • Ability to read and interpret technical diagrams, schematics, and parts breakdowns.
  • Skilled in using electronic parts catalogs and online cross-referencing tools.
  • Point-of-Sale (POS) system operation and cash handling experience.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word) for communication and basic reporting.

Experience Requirements

Typical Experience Range: 2-5+ years of relevant experience.
