Core Responsibilities

Primary Functions

  • Workflow Orchestration: Act as the primary coordinator for the daily workflow of all diagnostic imaging studies, ensuring efficient scheduling, timely processing, and accurate distribution to radiologists for interpretation.
  • PACS/RIS Administration: Serve as the first line of support and subject matter expert for the Picture Archiving and Communication System (PACS) and Radiology Information System (RIS), troubleshooting user and system issues to minimize downtime.
  • Data Integrity and Quality Assurance: Meticulously perform daily quality assurance checks on images and associated data, correcting errors, reconciling exceptions, and merging patient records to ensure 100% data integrity across all imaging platforms.
  • Image & Report Distribution: Manage the secure electronic and physical transfer of imaging studies and reports to referring physicians, external healthcare facilities, and patient portals, ensuring full compliance with HIPAA regulations.
  • Exception Handling: Proactively identify and resolve issues on worklists and exception queues, such as unread studies, mismatched patient information, and failed transmissions, to prevent delays in patient care.
  • External Image Management: Oversee the entire process of importing and digitizing outside imaging studies (e.g., from CDs/DVDs or cloud platforms), ensuring they are correctly integrated into the local PACS and patient's electronic medical record (EMR).
  • System Liaison: Function as the key communication link between the radiology department, IT helpdesk, and system vendors to report software bugs, coordinate scheduled maintenance, and assist in testing system upgrades and patches.
  • User Training and Support: Develop and provide ongoing training and at-the-elbow support for radiologists, technologists, and other clinical staff on the proper use of PACS, RIS, voice recognition software, and other imaging applications.
  • Protocol Management: Assist in maintaining and updating imaging protocols within the RIS, ensuring that ordered procedures correctly map to the appropriate imaging series and parameters.
  • Downtime Procedure Coordination: Lead the implementation of and adherence to established downtime procedures during planned or unplanned system outages to ensure continuity of patient care and subsequent data reconciliation.
  • Teleradiology Coordination: Prepare and transmit imaging cases to teleradiology services for preliminary or final interpretation, tracking the status and ensuring the timely return of reports into the EMR/RIS.
  • Billing and Charge Reconciliation: Collaborate with the billing department to resolve charge-related errors stemming from incorrect exam coding, mismatched orders, or other data discrepancies in the RIS.
  • Regulatory Compliance Monitoring: Assist in monitoring and ensuring departmental practices comply with standards set by regulatory bodies such as The Joint Commission, ACR, and HIPAA concerning image management and data security.
  • Specialized Study Coordination: Coordinate the logistics for specialized imaging procedures, such as 3D reconstructions, advanced visualizations, and research studies, ensuring the correct data is routed to the appropriate advanced visualization workstations.
  • Film Library and Archive Management: Oversee the legacy film library and long-term digital archives, managing requests for historical images and ensuring proper storage and retrieval protocols are followed.

  • Performance Metrics Reporting: Assist leadership by generating and analyzing reports on key performance indicators (KPIs) such as exam turnaround times, image rejection rates, and system usage.
  • Process Improvement Initiatives: Actively participate in departmental quality and process improvement projects, offering insights and suggestions to enhance the imaging workflow, reduce errors, and increase efficiency.
