This role ensures accurate, timely ingestion of structured and unstructured data into business systems and analytics platforms, leads the data entry and capture teams, implements automation (OCR/RPA/ETL) where appropriate, and partners with IT, compliance, and business stakeholders to deliver high-quality, auditable data feeds that support operations and decision-making.

Core Responsibilities

Primary Functions

  • Develop, document, and maintain end-to-end data input workflows, standard operating procedures (SOPs), and input validation rules to ensure consistent, auditable capture of transactional and master data across ERP, CRM, and analytics platforms.
  • Lead and coach a multi-shift team of data entry specialists, quality assurance analysts, and capture technicians, including recruitment, performance management, training plans, and career development to sustain high accuracy and throughput.
  • Define, monitor and continuously improve key performance indicators (KPIs) such as input accuracy rates, throughput volume, SLA adherence, error turnaround time, and first-pass yield; produce weekly and monthly performance reports for senior stakeholders.
  • Design and implement data quality controls and exception handling processes, including automated validation checks, manual review workflows, escalation paths, and root-cause analysis to reduce rework and downstream errors.
  • Partner with IT and solution architects to specify, test and deploy capture technologies (OCR/ICR/document capture), RPA bots, ETL pipelines and API integrations that automate repetitive input tasks and improve data fidelity.
  • Manage ingestion and reconciliation of complex unstructured and semi-structured inputs (scanned documents, PDFs, emails, spreadsheets) into structured systems, ensuring metadata enrichment, indexing, and secure storage practices.
  • Own vendor and third-party relationships for outsourced data input or capture services, including contractual SLAs, quality audits, onboarding, performance reviews and cost controls.
  • Drive continuous process improvement initiatives using Lean, Six Sigma, or Kaizen methodologies to streamline data input cycles, reduce manual handoffs and lower unit cost-per-record.
  • Coordinate cross-functional working groups with finance, operations, product and compliance to align input requirements, change management, and downstream system dependencies prior to go-live.
  • Manage capacity planning and resource allocation based on seasonality, campaign activity and business forecasts to meet service level agreements without sacrificing quality.
  • Serve as the product owner for internal input tooling and admin consoles, prioritizing feature requests, backlog grooming, user acceptance testing (UAT) and release planning with engineering teams.
  • Ensure compliance with data privacy, retention and security requirements (GDPR, CCPA, industry-specific regulations), implementing role-based access, encryption and audit logging for all input processes.
  • Lead data migration and cutover activities when implementing new ERP/CRM systems, ensuring legacy-to-new system mappings, reconciliation and parallel-run validations are completed with zero data loss.
  • Establish and maintain a centralized knowledge base and onboarding curriculum for data input best practices, including error coding, field-level validation logic and escalation contacts to minimize ramp-up time for new hires.
  • Build and present executive-level dashboards and ad-hoc analyses using SQL, Power BI or Tableau to surface input health metrics, trends, and the ROI of automation initiatives to leadership.
  • Conduct regular quality assurance sampling, audits and data reconciliation cycles to identify systemic issues and coordinate corrective actions with technical and business teams.
  • Implement robust exception-management workflows and SLAs for high-value or high-risk records that require manual intervention, ensuring timely stakeholder notification and remediation.
  • Lead pilot projects and proofs-of-concept for emerging input technologies (AI/ML-assisted data capture, intelligent document processing) to evaluate feasibility and scale-up strategies.
  • Oversee budget planning and cost control for the input function, including labor, software licenses, vendor contracts and continuous improvement investments.
  • Serve as the single point of accountability for month-end, quarter-end or regulatory reporting inputs that are critical to financial and compliance reporting pipelines.
  • Maintain strong data lineage documentation and mapping to support internal and external audits, including detailed records of transformations, enrichment steps and reconciliation checks.
  • Facilitate cross-training and flexible resource pools to maintain resilience against absenteeism or spikes in volume while preserving data quality standards.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Microsoft Excel, including Power Query, advanced formulas, pivot tables and macros for data validation and reconciliation.
  • SQL (writing complex queries, joins, window functions) to extract, transform and validate input data across relational databases.
  • Experience implementing and managing OCR/ICR/document capture platforms and intelligent document processing (IDP) tools.
  • Familiarity with RPA tools such as UiPath, Automation Anywhere or Blue Prism to design and maintain automation for repetitive input tasks.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in Business Administration, Information Systems, Computer Science, Data Analytics, Operations Management, or related field.

Preferred Education:

  • Bachelor’s plus relevant certifications (Lean Six Sigma, UiPath/RPA certification, Power BI, SQL) or a Master’s degree in a related discipline.
