Core Responsibilities

Primary Functions

  • Perform visual, dimensional and functional inspections of incoming raw materials, components, in-process parts and finished goods using checklists, work instructions and quality plans to ensure conformance to drawings, specifications and regulatory requirements.
  • Accurately document inspection results in the appropriate electronic systems (ERP, LIMS, QMS) and paper records, creating clear, auditable entries that support traceability and root-cause investigations.
  • Generate and issue inspection reports, acceptance/rejection notices, and material tags (accept, quarantine, scrap) and distribute them to production, QA and warehouse personnel to ensure correct disposition of material.
  • Initiate and process non-conformance reports (NCRs) and rejected material records, capturing required details, photographic evidence and routing data to appropriate stakeholders for corrective action.
  • Coordinate and schedule sample inspections, lot testing and release activities with production, quality labs and external vendors to meet production timelines and regulatory hold points.
  • Use hand tools and precision measuring instruments (calipers, micrometers, gauges) and follow calibration records to perform dimensional checks and confirm measurement accuracy.
  • Verify and cross-check incoming shipping documentation, certificates of analysis (COAs), packing lists and supplier-supplied documentation for accuracy and completeness before material is accepted into inventory.
  • Maintain organized, up-to-date inspection logs, inspection worksheets, quality notebooks and inspection equipment inventories to ensure records are readily available for audits and day-to-day operations.
  • Tag, segregate and store suspect or nonconforming products in designated quarantine areas and maintain chain-of-custody documentation until final disposition is determined.
  • Support receiving and shipping operations by performing final inspections prior to release, verifying labeling, lot codes, expiration dates and palletization to ensure regulatory and customer requirements are met.
  • Perform routine inventory and cycle-count checks for inspection-related items and kits, reconciliation of discrepancies, and notify purchasing or warehouse management when replenishment is required.
  • Assist quality engineers and supervisors during internal and external audits by preparing inspection files, providing documentation and explaining inspection processes and records.
  • Work with suppliers and procurement to report quality trends, supplier performance issues and request supplier corrective actions (SCAR) when recurring issues are identified.
  • Follow and help maintain Standard Operating Procedures (SOPs), inspection instructions, and quality control plans; propose updates when improvements are identified through daily activities.
  • Enter and update lot tracking, serial number and traceability information into electronic systems to maintain end-to-end product traceability for recalls and investigations.
  • Support first-article inspections (FAI) and initial sample inspections by performing dimensional checks, photographic documentation and checklist completion to approve new lots or production runs.
  • Conduct basic sampling and basic laboratory preparatory tasks (where applicable), such as pulling samples, labeling, and sending samples to analytical labs in accordance with chain-of-custody procedures.
  • Monitor production lines and perform in-process inspections to catch deviations early, communicating findings to supervision to minimize scrap, rework and downtime.
  • Participate in root cause analysis meetings and help implement corrective and preventive actions (CAPA) by providing inspection data, trend charts and observations.
  • Maintain, calibrate and arrange calibration for inspection tools and measuring devices, logging service dates, calibration records and removing out-of-calibration tools from service.
  • Train and mentor new inspection clerks or production staff on inspection procedures, use of inspection equipment, documentation requirements and safety expectations to ensure team consistency.
  • Ensure compliance with company safety policies and regulatory requirements (OSHA, ISO, GMP), performing inspections with appropriate PPE and reporting any safety or environmental concerns.

Secondary Functions

  • Support continuous improvement initiatives by tracking inspection metrics (defect rates, incoming rejection rates, inspection throughput) and suggesting process improvements.
  • Provide administrative support for QA projects, including document scanning, filing, photocopying, and creating meeting minutes for quality review boards.
  • Assist with process audits and supplier visits by preparing checklists and gathering historical inspection data for review.
  • Help maintain spare parts and inspection supplies inventory, reorder supplies and manage relationships with calibration and test-equipment vendors.
  • Perform occasional forklift or pallet jack duties if certified, to move inspected materials to quarantine or staging areas for shipping and production.
  • Support customer complaint handling by retrieving inspection records, photographs, and lot history for investigation teams.
  • Participate in cross-functional huddles and daily production meetings to communicate inspection status, bottlenecks and material holds.
  • Create and maintain quick-reference guides, tags and labels for inspection workstations to streamline inspector decision-making and compliance.
  • Assist in the preparation and coordination of thermal, environmental or functional tests by setting up fixtures and documenting results when required.
  • Provide back-up coverage for document control or shipping clerks during absences, ensuring continuity of critical administrative flows.

Required Skills & Competencies

Hard Skills (Technical)

  • Inspection and Measurement: Strong ability to perform visual inspection and dimensional measurement using calipers, micrometers, height gauges and go/no-go gauges.
  • Quality Systems: Practical experience working within ISO 9001, GMP, or other regulated quality management systems and following SOPs.
  • Data Entry and Recordkeeping: Accurate, high-volume data entry into ERP, LIMS or QMS systems with strong documentation and audit-trail awareness.
  • Non-Conformance & CAPA: Experience initiating and documenting non-conformance reports (NCRs), supporting CAPA workflows and supplier corrective action requests.
  • Material Handling & Receiving: Knowledge of receiving processes, verification of COAs, lot control, labeling and quarantine procedures.
  • Measurement Tool Calibration: Familiarity with calibration schedules, tagging, and maintenance of inspection tools and equipment.
  • Blueprint & Specification Reading: Basic capability to read manufacturing drawings, part prints and specification sheets to verify inspection criteria.
  • Software Proficiency: Proficient with Microsoft Excel (filters, VLOOKUPs/pivots for trend reports), Word and Outlook; experience with ERP (e.g., SAP, Oracle, NetSuite), LIMS or QMS is a plus.
  • Barcode & Scanning Systems: Comfortable using barcode scanners, label printers and handheld data collection devices for traceability.
  • Test & Sampling Procedures: Knowledge of sample-plan execution, lot sampling and preparing specimens for laboratory testing.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED; required.

Preferred Education:

  • Associate degree or certificate in Quality Assurance, Manufacturing Technology, Industrial Technology, or Logistics.
  • Certifications (preferred): Certified Quality Inspector (CQI), ISO 9001 internal auditor, or similar quality-related certifications.
