Primary Functions
- Inspect, assemble and verify complex surgical instrument trays and case carts prior to procedures, ensuring each tray contains the correct instruments and that instruments meet functional and cosmetic standards to support operating room efficiency and patient safety.
- Perform detailed visual and functional inspection of instruments for wear, damage, corrosion or missing components, and document findings in instrument tracking systems and maintenance logs to ensure traceability and lifecycle management.
- Execute sterilization processes according to facility protocols and manufacturer instructions (autoclave/steam, low-temperature hydrogen peroxide, ETO when applicable), including load preparation, cycle monitoring, and verification of biological and chemical indicators for compliance with AAMI and facility standards.
- Conduct preventive maintenance and basic repairs on surgical instruments and small biomedical devices (e.g., laparoscopic instruments, electrosurgical pencils, power tool attachments) to extend service life and reduce downtime, following vendor repair guides and facility repair policies.
- Calibrate and test selected instrumentation and diagnostic equipment to specification, using calibrated measurement tools, test fixtures and manufacturer-recommended procedures, and record calibration results for audit readiness and quality assurance.
- Troubleshoot and resolve instrument malfunctions or performance issues in collaboration with clinical engineering, vendors, and manufacturer field service representatives, escalating complex repairs as required and coordinating warranty claims and repair authorizations.
- Reprocess flexible and rigid endoscopes and other delicate instrumentation following validated reprocessing protocols, including leak testing, manual cleaning, enzyme exposure, high-level disinfection/sterilization, and storage procedures to prevent cross-contamination.
- Maintain accurate inventory levels for instruments, trays, and accessories through daily counts, barcode/RFID scanning, and inventory management systems; identify low-stock items and initiate replenishment requests to prevent procedure delays.
- Assemble, label and validate new or revised instrument sets and trays by creating and maintaining set lists, photographic references, and standard operating procedures to ensure consistency across shifts and facilities.
- Provide on-call or perioperative instrument support during surgeries, including instrument exchange, troubleshooting instrument jams or function failures, and assisting OR staff with immediate instrument needs to minimize case interruptions.
- Document and process instrument repair requests, maintain repair logs, and coordinate shipping/receiving of instruments to external repair vendors while tracking turnaround time and repair costs for budget management.
- Implement and maintain quality control measures including using test indicators, biological monitoring, and instrument tracking software to ensure sterilization efficacy and to support accreditation and regulatory inspections.
- Train and mentor sterile processing technicians, new instrument specialists and perioperative staff on instrument identification, care, inspection criteria, sterile technique, and proper use of sterilization equipment to maintain high standards of practice.
- Support instrument validation and new product introductions by coordinating comparative testing, functional assessments, and establishing acceptance criteria in accordance with manufacturer recommendations and clinical user feedback.
- Participate in root cause analysis for recurring instrument failures or sterilization process deviations, proposing corrective and preventive actions (CAPA) and documenting process improvements for quality management.
- Ensure compliance with all relevant regulatory and accreditation standards (AAMI, AORN, CDC, OSHA, FDA) by maintaining process documentation, participating in audits, and implementing policy updates related to instrument processing and safety.
- Maintain the sterile environment and instrument storage areas by ensuring proper packaging, labeling, rotation according to expiration or use-by dates, and adherence to environmental controls to prevent contamination and maintain instrument integrity.
- Use instrument tracking systems (e.g., Sterile Processing Tracking, ERP modules, RFID/barcode systems) to log instrument movements, repair history, sterilization cycles, and case usage to enable end-to-end traceability and data-driven inventory decisions.
- Collaborate with purchasing, supply chain and clinical leadership to evaluate instrument lifecycle costs, recommend disposal or replacement of obsolete or non-repairable instruments, and participate in capital planning for new instrumentation and maintenance budgets.
- Prepare and maintain documentation for instrument validation, calibration certificates, repair records, and sterilization records required for internal and external audits and accreditation processes.
- Liaise with vendors and manufacturer representatives to obtain technical support, service contracts, spare parts, software updates and training to ensure instruments are supported by appropriate service level agreements.
- Conduct ergonomic and safety checks for instrument handling workflows, recommending process improvements to minimize staff injury and instrument damage, and promote best practices in aseptic technique and sharps safety.
- Support multi-site instrument coordination for health systems by standardizing tray contents, sharing best practices across locations and managing instrument transfers to balance case demands across facilities.
- Lead projects to implement or upgrade instrument tracking, sterilization monitoring, or inventory management systems by defining user requirements, validating system performance, training users and documenting new workflows.
- Monitor and report on key performance indicators (KPIs) such as turnaround time for cases, repair turnaround time, sterilization cycle failure rates and inventory shrinkage to drive continuous improvement and operational efficiency.

Educational Background
Minimum Education:
