Core Responsibilities
Primary Functions
- Lead client discovery workshops and structured interviews to capture business requirements, user needs and design drivers; translate outcomes into a clear design brief and measurable project objectives that align with commercial and operational constraints.

- Prepare realistic and defensible cost estimates, project budgets and cost schedules; monitor budget performance through procurement and installation phases and implement corrective measures when required.
- Manage procurement and sourcing activities: identify and qualify suppliers, prepare and issue RFQs/RFPs, compare quotations, negotiate terms and secure competitive pricing while ensuring lead-time alignment with the project schedule.
- Develop technical drawing packages, specification documents and installation manuals for contractors and sub-contractors; maintain version control and a comprehensive drawing register for the project lifecycle.
- Coordinate construction and fit-out activities with contractors, MEP consultants and architects; attend site meetings, conduct inspections and issue site instructions and clarifications to ensure design intent is realized.
- Oversee sample approval, mock-ups and prototypes (e.g., joinery, seating, lighting), leading quality review sessions and signing off on production samples before mass procurement.
- Produce photorealistic 3D visualizations, sectional perspectives and material studies (using SketchUp, 3ds Max, V-Ray, Enscape or similar) to help clients visualize schemes and expedite decision-making.
- Prepare and deliver persuasive client presentations and stakeholder briefings that articulate design rationale, commercial value and project milestones; incorporate feedback and manage client decision timelines.
- Manage project timelines and deliverables across multiple concurrent projects using project management tools and methodologies; proactively identify risks and prepare mitigation plans to avoid schedule slippage.
- Coordinate tendering and subcontractor selection processes, evaluate contractor bids, review scopes of work and assist procurement teams with prequalification and selection criteria.
- Administer contracts and change orders, including drafting scopes, tracking variations, negotiating pricing changes and updating project documentation to reflect revisions and approvals.
- Ensure all designs and products comply with regulatory and statutory requirements, including fire safety, accessibility (ADA or national equivalents), acoustics, thermal comfort and local planning regulations.
- Advise clients on sustainable material choices, lifecycle impacts and certification goals (e.g., LEED, BREEAM) and specify low-VOC, recycled or responsibly sourced products where appropriate.
- Deliver fit-out supervision during installation and handover phases, performing final inspections, generating snag lists, coordinating punch-list resolution and confirming client satisfaction at handover.
- Maintain vendor, supplier and subcontractor relationships to secure preferential pricing, expedite deliveries and resolve performance issues during project delivery.
- Prepare professional proposals, scopes of work and fee models that clearly define deliverables, payment schedules, exclusions and client responsibilities to reduce scope creep and support commercial governance.
- Track and manage approvals for permits, samples and compliance documentation; collate as-built drawings, warranties, maintenance manuals and final documentation for client handover.
- Act as a sales-oriented consultant by identifying upsell opportunities, preparing concept options with cost differentials and supporting business development activities and client retention strategies.
- Maintain an up-to-date knowledge base of materials, products, brands and industry trends through research, trade shows and supplier visits to ensure proposals are current and competitive.
- Mentor junior designers and coordinate interdisciplinary teams; provide constructive feedback on design documentation, presentation techniques and site supervision best practices.
