Core Responsibilities
Primary Functions
- Manage end-to-end FF&E procurement and logistics for interior projects, including preparing purchase orders, coordinating lead times, tracking delivery schedules, receiving goods, arranging storage, and verifying shipments against packing lists and specifications.
- Prepare, review and manage detailed submittals, product data, finish schedules, shop drawings, and material samples; ensure all submittals meet project specifications and are approved in a timely manner to prevent schedule delays.
- Coordinate with designers and technical leads to create accurate FF&E and finish takeoffs, costing worksheets and budget forecasts; track actual expenditures and change orders to maintain budgetary control.
- Serve as the primary point of contact for vendors, manufacturers and showrooms β obtain competitive quotes, negotiate pricing and terms, confirm warranties and lead times, and manage vendor performance throughout the project lifecycle.
- Maintain and update project schedules (Gantt timelines, installation windows and milestone tracking); proactively communicate schedule impacts to the design team, contractors and clients and propose recovery actions as needed.
- Conduct regular site visits and field verifications to confirm existing conditions, measure and photograph spaces, verify coordination with MEP/structural elements, and report discrepancies to the design and construction teams.
- Create, manage and distribute RFIs (Requests for Information) and submittal packages; coordinate responses with the design team and ensure contractor compliance with design intent and code requirements.
- Oversee installation planning and onsite install supervision when required β coordinate installation crews, provide layout drawings, verify sequence of operations and perform quality control inspections during and after installation.
- Prepare and manage punch lists, coordinate remedial work with contractors and vendors, verify completion of corrective items, and ensure full project closeout and sign-off documentation.
- Maintain comprehensive project documentation including contracts, purchase orders, invoices, proof of delivery, warranty documentation, certifications, and as-built or record drawings in the project management system.
- Facilitate coordination between interior design team and general contractor for scopes that interface (millwork, hardware, wall finishes, ceilings, lighting) to prevent scope gaps and ensure smooth construction sequencing.
- Administer change orders and contract amendments related to FF&E and finishes: prepare documentation, obtain approvals from clients, update budgets and communicate impacts to schedule and procurement.
- Review and interpret architectural and construction drawings (plans, elevations, details) to extract interior finish and FF&E installation requirements and to verify coordination with existing conditions and MEP systems.
- Manage sample libraries and finish boards: log sample requests, track circulation, maintain condition and storage, and coordinate client approvals and sample returns.
- Coordinate technical testing and quality assurance activities (finish mock-ups, material testing, VOC reporting) and track compliance documentation for client and regulatory requirements.
- Liaise with logistics providers and movers to coordinate on-site delivery windows, staging areas, temporary storage and furniture installs, ensuring protection of finished surfaces and minimizing disruption during move-in.
- Manage warranty claims, product returns and repairs: collect documentation, liaise with vendors for corrective action, track resolution timelines and communicate outcomes to the client and design team.
- Prepare status reports and regular project updates for internal teams and clients β summarize procurement status, install progress, outstanding issues, and risk mitigation plans.
- Support bid and tender processes for FF&E and specialty items: prepare bid packages, evaluate proposals, document recommendation rationale and participate in vendor selection.
- Implement procurement and quality-control processes to standardize workflows, reduce lead-time variability and improve first-time-right installation rates across projects.
- Ensure all interior work adheres to local building codes, accessibility standards (ADA), fire and life-safety requirements, and sustainability certifications where applicable (LEED, WELL).
- Coordinate with IT and AV teams to ensure furniture and millwork provisions accommodate cabling, power, and technology requirements; verify cutouts, access panels and raceway locations prior to installation.
Secondary Functions
- Maintain and update the firm's FF&E and finish specification library and approved vendor lists to streamline future procurement and design decisions.
- Support the creation and refinement of procurement templates, installation checklists, and quality control forms to improve consistency across projects.

Educational Background
Minimum Education:
