  • Prepare accurate cost estimates and maintain budget tracking for design scope, FF&E, and installation costs; recommend value engineering options when necessary to align with financial targets.
  • Manage vendor and subcontractor relationships, including sourcing, soliciting bids, negotiating pricing and terms, and evaluating samples to secure quality products and services.
  • Coordinate with architects, engineers, MEP consultants, and general contractors to integrate interior work with structural, mechanical, electrical, and life-safety systems.
  • Perform site surveys and field measurements; document existing conditions and translate survey data into accurate base drawings for design development and construction.
  • Oversee procurement logistics: place orders, track shipments, verify deliveries, coordinate customs/clearance when applicable, and reconcile invoices against contracts and purchase orders.
  • Develop and maintain detailed FF&E schedules, vendor contact lists, sample libraries, and specification documentation in the project management system.
  • Supervise on-site installation and punch-list management, ensuring furniture placement, finishes, and millwork installation meet design intent and quality standards.
  • Create photorealistic renderings, mood boards, and material sample presentations to articulate design concepts and secure stakeholder approvals.
  • Ensure all interior solutions meet applicable building codes, accessibility standards (ADA), fire and egress requirements, and local permitting conditions; coordinate permit submissions as needed.
  • Implement quality control processes, perform regular site inspections, and resolve construction and installation issues by providing clear RFI responses and detail clarifications.
  • Drive sustainability and lifecycle thinking into material and product selections โ€” evaluate environmental certifications, product durability, and maintenance impacts.
  • Maintain up-to-date project documentation, including RFIs, change orders, submittals, as-built drawings, and warranty information to enable smooth handover and facilities management.
  • Develop and present design proposals, schematic/ design development packages, and final presentations to clients and stakeholders, addressing feedback and obtaining approvals in a timely manner.
  • Mentor junior designers and coordinate specialist consultants (lighting designers, acousticians, signage specialists) to deliver comprehensive interior solutions.
  • Implement schedule management, track critical path milestones, and proactively manage risks and delays to keep projects on time and on budget.
  • Create and maintain accurate takeoffs for materials, furniture, and finishes; collaborate with purchasing teams to optimize cost and lead times while maintaining quality standards.
  • Support post-occupancy evaluation by collecting feedback, monitoring performance of design solutions, and recommending adjustments to improve functionality and user satisfaction.

Secondary Functions

  • Maintain and organize a physical and digital sample library, product catalogs, and vendor relationships to streamline future specifications and sourcing.
