Core Responsibilities

Primary Functions

  • Coordinate and schedule interpreters for in-person and remote meetings, conferences, and legal or medical appointments, ensuring appropriate language pairings, subject-matter expertise, and coverage across time zones.
  • Serve as the primary point of contact between clients, event organizers, subject-matter experts, and freelance interpreters to clarify requirements, deliverables, and expectations prior to each assignment.
  • Prepare and maintain detailed pre-session briefings, including agendas, speaker lists, glossaries, reference materials, and briefing notes to enable accurate and context-aware interpreting.
  • Conduct terminology research and build/update standardized glossaries and bilingual/multilingual glossaries tailored to specific industries (legal, medical, technical, finance, government) to improve consistency and interpreter performance.
  • Provide on-site and remote technical support during interpreting sessions: set up and test interpreting booths, headsets, microphones, consoles, streaming encoders, and platform integrations; troubleshoot audio, latency, and channel issues.
  • Manage remote simultaneous interpreting (RSI) platforms (e.g., Interprefy, Kudo, Zoom Interpretation, VoiceBoxer), configuring interpreter channels, access tokens, and user permissions, and monitoring session health.
  • Perform sight translation and live liaison interpreting when required, supporting senior interpreters and presenters with real-time linguistic assistance.
  • Monitor and record session metadata and quality metrics (attendance, channel usage, audio levels, drop rates) and produce post-session reports for clients and internal stakeholders.
  • Coordinate interpreter assignments, contracts, invoicing details, and timesheets; maintain accurate records of assignments, rates, and compliance with vendor agreements.
  • Vet, recruit, and onboard freelance interpreters and language vendors by verifying credentials, conducting sample evaluations, and managing interpreter rosters by language pair and specialization.
  • Manage confidentiality, privacy, and data security practices for sensitive content, including NDAs, secure file transfer, and proper handling of recorded sessions and transcripts.
  • Assist in the creation and distribution of briefing packets, slide decks, scripts, and pre-recorded audio to interpreters and presenters to ensure synchronized delivery and consistent messaging.
  • Support training initiatives by organizing interpreter coaching sessions, mock runs, terminology workshops, and feedback sessions to maintain service quality and skill development.
  • Coordinate logistics for interpreting teams on-site: transportation, accommodation, visas, customs or equipment shipping, and on-site interpreter orientation to event facilities and audio systems.
  • Perform quality control on interpreted output: review recordings, collect client feedback, identify recurring issues, and recommend corrective action or additional resources/training.
  • Prepare and maintain interpreter equipment inventories, checklists, and preventative maintenance schedules for interpreting booths, consoles, and portable RSI kits.
  • Collaborate with project managers and account managers to provide accurate cost estimates, scope statements, and resource planning for interpreting projects and multi-day events.
  • Support multilingual transcription and post-editing workflows: coordinate delivery of source audio, manage timestamps, and liaise with transcriptionists and translators for final deliverables.
  • Facilitate communication for accessibility services by liaising with captioning, sign language, or assistive technology providers to ensure inclusive event experiences.
  • Implement and enforce best practices and ISO or industry guidelines related to interpreting services, including interpreter ethics, impartiality, and professional standards.
  • Maintain and update interpreter directories and CRM records with language pairs, specialties, certifications, availability, and performance notes to optimize resource allocation.
  • Act as liaison for cultural mediation, clarifying culturally specific references, idioms, and conventions for both interpreters and clients to reduce misunderstanding and increase accuracy.
  • Assist with pilot tests and technical rehearsals for hybrid and virtual conferences, ensuring seamless handoff between presenters, moderators, and interpreters.
  • Manage urgent ad-hoc interpreting requests by sourcing last-minute interpreters, arranging expedited logistics, and ensuring rapid onboarding and briefing.
  • Collect and synthesize client satisfaction data, post-event surveys, and Net Promoter Scores (NPS) related to interpreting services, using the data to recommend service improvements.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis related to interpreter utilization, cost-per-hour, turnaround times, and client metrics.
  • Contribute to the organization's data strategy and roadmap for language services, identifying automation opportunities and KPIs for interpreting operations.

Required Skills & Competencies

Hard Skills (Technical)

  • Professional-level proficiency in at least two languages (source and target) with demonstrable interpreting ability; certifications (NAATI, ATA, ITI, or equivalent) preferred.
  • Familiarity with consecutive, simultaneous, and liaison interpreting techniques and best practices, including sight translation and note-taking methods.
  • Experience using remote simultaneous interpreting (RSI) platforms such as Interprefy, Kudo, Zoom Interpretation, VoiceBoxer, or bespoke event platforms.

Education & Experience

Educational Background

Minimum Education:

  • Associate degree, diploma, or equivalent in languages, translation, communications, or related field; or relevant professional experience in language services.

  • Bachelor's degree in Translation Studies, Interpreting, Linguistics, Modern Languages, International Relations, or similar.
  • Certifications from recognized interpreting bodies (NAATI, ITI, ATA, CIOL, AIIC membership for interpreters, or specialized RSI certifications).
