Core Responsibilities

Primary Functions

  • Coordinate scheduling, confirmation, and dispatch of interpreters for simultaneous and consecutive assignments, ensuring correct language pairs, skill level, certification, and availability, while meeting client timelines and budget constraints.
  • Manage end-to-end logistics for on-site interpreting assignments, including venue liaison, room layout for booths, AV requirements, interpreter check-in/check-out procedures, travel arrangements, and emergency contingencies to guarantee flawless delivery.
  • Administer video remote interpreting (VRI) and over-the-phone interpreting (OPI) sessions using platforms such as Zoom, KUDO, Interprefy, LanguageLine, or client-specific portals; troubleshoot connection, audio/video, and user experience issues in real time.
  • Build and maintain an active roster of vetted freelance and staff interpreters by conducting skills assessments, checking certifications, verifying references, and maintaining up-to-date availability calendars and rate schedules.
  • Serve as primary point of contact for internal stakeholders (legal, HR, clinical teams, event planners) and external clients to gather requirements, scope interpreting needs, clarify technical constraints, and provide pre-event briefs and interpreter briefs.
  • Develop and maintain interpreter briefs, glossaries, and session-specific terminology lists in collaboration with subject matter experts to ensure consistency, technical accuracy, and cultural appropriateness across assignments.
  • Implement quality assurance processes including session monitoring, post-assignment evaluations, rating collection, corrective feedback, and performance improvement plans to raise service quality and interpreter effectiveness.
  • Negotiate service-level agreements (SLAs), rates, and contract terms with vendor agencies and independent interpreters; manage purchase orders, invoicing, and contract renewals within procurement guidelines.
  • Track and manage interpretation budgets, prepare cost estimates for proposed services, provide variance analysis, and recommend cost-saving measures such as shared sessions or remote alternatives.
  • Create and maintain accurate documentation of assignments, client preferences, interpreter notes, incident reports, and confidential records in language service management systems (LSPs) or CRM tools.
  • Prepare and present weekly/monthly performance reports and dashboards that include metrics such as fill rate, on-time arrival, client satisfaction scores, average cost per assignment, and vendor utilization.
  • Respond immediately to last-minute scheduling changes, cancellations, or on-site interpreter no-shows by sourcing qualified replacements, adjusting logistics, and communicating changes to impacted stakeholders to minimize service disruption.
  • Train and onboard new interpreters and vendor partners on organizational processes, confidentiality requirements (HIPAA/GDPR where applicable), invoicing procedures, and use of remote interpreting platforms and tools.
  • Oversee compliance with data protection, confidentiality, and ethical interpreting practices by ensuring interpreter NDAs are signed, credential checks are performed, and secure transfer/storage of session recordings and client materials.
  • Coordinate multi-language, multi-session events and conferences, developing run-of-show documents, timing grids, and dedicated interpreter assignments for plenary and breakout sessions to ensure coherent multilingual participant experiences.
  • Facilitate pre-session briefings and post-session debriefs between clients and interpreters to clarify specialist terminology, set expectations, and gather feedback for continuous improvement.
  • Manage technical staging for interpreting booths, headsets, transmitters, microphones, and streaming connections in partnership with AV vendors; test all equipment pre-event and oversee the on-site technical team during events.
  • Maintain and update centralized terminology databases, translation memory (TM) snippets, and glossaries to support continuity across interpreting and related translation tasks.
  • Implement risk management plans for complex or sensitive assignments (legal proceedings, medical appointments, governmental meetings), including escalation paths, backup interpreters, and security protocols.
  • Collaborate with translation, localization, and content teams to plan combined language service projects and ensure consistency across spoken and written deliverables.
  • Support diversity and inclusion initiatives by recruiting interpreters with cultural competence for targeted communities, ensuring equitable access to language services for underserved populations.
  • Provide instruction and documentation for internal stakeholders on best practices for requesting interpreters (lead times, language codes, session types), helping to reduce errors and improve lead-time planning.
  • Conduct regular market research to benchmark interpreter rates, platform capabilities, and vendor performance; recommend strategic improvements to procurement and vendor selection.
  • Manage post-event invoicing reconciliation, dispute resolution with vendors or clients, and maintain financial records for audit readiness.
  • Champion continuous process improvement initiatives by documenting workflows, identifying automation opportunities (scheduling scripts, API integrations), and liaising with IT or vendor partners to streamline service delivery.

Secondary Functions

Required Skills & Competencies

Hard Skills (Technical)

Education & Experience

Educational Background

Minimum Education:

  • Associate degree or equivalent experience; secondary education plus relevant experience accepted.
