Primary Functions

  • Manage end-to-end interview scheduling for multiple concurrent requisitions: coordinate availability between candidates and multi-disciplinary interview panels, propose optimal interview times, and confirm logistics across calendars and time zones to minimize delays in the hiring process.
  • Serve as the primary candidate-facing contact for interview logistics: provide timely communication, clear instructions, interview agendas, location details (or virtual links), parking and building access, point-of-contact information, and post-interview next steps to enhance candidate experience.
  • Maintain and operate the applicant tracking system (ATS) for interview-related tasks: create interview events, update candidate statuses, log interviewer availability, attach interview guides and evaluation forms, and ensure accurate data integrity for reporting.
  • Prepare and distribute standardized interview packets to hiring teams: include job descriptions, competency frameworks, scorecards, evaluation rubrics, candidate resumes, and interview timelines to ensure consistent interviewer preparation and objective assessment.
  • Coordinate and facilitate virtual interviews and assessment platforms: generate and manage video conferencing links (Zoom, Microsoft Teams, Google Meet), test functionality, provide technical troubleshooting guidance, and partner with IT when escalation is needed.
  • Build and maintain interview calendars and interviewer pools: organize block schedules for high-volume hiring, manage interviewer rotations, and maintain a directory of qualified interviewers and subject matter experts to ensure appropriate panel composition.
  • Enforce interview best practices and compliance: ensure interviews adhere to company policies, legal/regulatory interview constraints, and diversity, equity & inclusion (DEI) guidelines; flag and remove biased or non-compliant questions.
  • Collect, compile, and distribute interviewer feedback in a timely manner: set reminders, manage feedback deadlines, synthesize scorecards, and escalate missing or conflicting feedback to the recruiter or hiring manager.
  • Track interview pipeline metrics and operational KPIs: monitor time-to-schedule, time-to-offer, interview-to-offer ratios, interviewer responsiveness, and candidate no-show rates; prepare weekly/monthly dashboards and insights for recruiting leadership.
  • Triage and resolve scheduling conflicts: proactively re-schedule, consolidate, or modify interviews when conflicts arise while maintaining candidate respect and efficient calendar use for hiring teams.
  • Coordinate candidate travel and in-person interview logistics: arrange travel itineraries, lodging, local transportation, expense guidelines, on-site directions, and hospitality arrangements for onsite interviews or assessment days.
  • Manage on-site reception and interview day flow: liaise with facilities and office reception to ensure interviewer rooms are reserved, space is set up, food and refreshment needs are met, and health & safety protocols are followed.
  • Oversee interview assessment coordination and scoring: administer skills tests, work sample assignments, or pre-interview assessments, ensure proctoring where necessary, and track completion and scoring.
  • Support offer and post-interview workflows: ensure interviewer feedback is routed correctly to hiring teams, help prepare candidate debriefs, and coordinate the interview-to-offer handoff to recruiting or HR business partners.
  • Design and continuously improve interview processes and templates: develop standardized email templates, scheduling workflows, checklists, and playbooks that reduce cycle time and increase interviewer and candidate satisfaction.
  • Train and onboard interviewers: lead short trainings or "how to interview" briefings for new interviewers, circulate guidance on structured interviews, scoring consistency, and minimizing bias.
  • Maintain confidentiality and secure candidate records: ensure compliance with data privacy rules, handle sensitive candidate information with discretion, and coordinate background check and reference check scheduling in partnership with HR/People Ops.
  • Support high-volume and campus hiring events: manage yield scheduling, coordinate group interviews, assessment centers, and panel interviewing logistics for job fairs, open interview days, and campus recruiting programs.
  • Liaise with external vendors and partner teams: coordinate with assessment providers, background check companies, relocation vendors, and staffing agencies to schedule external evaluations and ensure deadlines are met.
  • Implement and manage interview-related automations: configure scheduling tools, calendar invites, template automations, and ATS integrations to scale processes, reduce manual tasks, and improve response time.
  • Act as a point person for interview-related escalations: handle candidate complaints about logistics, late interviewer cancellations, or technical failures quickly and diplomatically, and recommend process fixes to reduce recurrence.
  • Maintain continuous availability and coverage during critical hiring windows: rotate on-call scheduling coverage for evenings or weekends when interviewing candidates in multiple time zones or urgent roles.
  • Audit and document interview program performance: conduct periodic reviews of interview quality, interviewer utilization, candidate satisfaction surveys, and deliver action plans to recruiting leadership for optimization.
